Position: Administrative Assistant
Job Description: The Administrative Assistant supports the program and program director in carrying out administrative duties such as client record keeping, reports, organization, communication with stakeholders, and general administrative duties. This role ensures the program is upholding confidentiality and required standards.
Pay: $20.00 - $24.00 hourly
Location: Tulsa, OK
Job Duties:
· Perform general administrative assistant duties such as clerical duties, answering phone calls, greeting visitors, and maintain a clean lobby/office space
· Handles confidential resident and staff information and maintaining HIPAA Compliance
· Manage calendars of clients appointments and program directors meetings
· Keep daily census up to date
· Maintain professional and timely communication via email with other departments in the agency and stakeholders
· Review daily paperwork to ensure documentation is complete to standards, following processes for any errors in documentation
· Communicate with staff when paperwork is needed
· Filing and keeping client records up to date
· Keep all monthly logs and records up to date as needed
· Maintain organization in all records
· Ensure all records and documentation are held to the standards of the agency, licensing, contracts, and accreditation requirements
· Complete internal audits of records, ensuring records are always kept to standards
· Prepare and participate in audits from outside entities
· Assist with other duties to support the program and program director
Skills:
· Comfortable in a fast-paced environment with multiple tasks and projects at hand

· Experience with computers, technology, and emailing
· Preferred experience in Google Drive/Workspace
Requirements / Qualifications:
· High School Diploma
· Must be able to pass criminal background check and drug screen
-3 years of administrative experience
