The Spa Manager oversees all activities of our world-class Spa at Ojo Caliente Mineral Springs Resort & Spa, located in Northern New Mexico. The Spa Manager oversees the spa, yoga program, and the springs.
Includes ensuring outstanding guest experiences; spa department operations; vendor management; purchasing; inventory management; active management of the spa schedule and supporting computer systems/POS; compliance and risk management; spa facilities oversight; budgeting; staffing, performance management, employee relations and teambuilding. Collaborates with our Ojo Spa Resorts LMT Liaison and Trainer who contracts with our independent contractor Licensed Massage Therapists (LMTs). Communicates frequently and comprehensively with resort department managers and Ojo Spa Resorts’ leaders.

ESSENTIAL JOB FUNCTIONS / RESPONSIBILITIES:
1. Evaluates, measures, and modifies critical operational processes as needed; develops and maintains positive working relationships with others; listens and responds appropriately to their concerns.
2. Determines staffing needs and hires staff. Ensures adequate training of new hires.
3. On-boards, schedules, and oversees training of Spa Staff.
4. Collaborates with the OSR LMT Liaison and Trainer on a regular basis. Upon request, assists the OSR LMT Liaison and Trainer to recruit and contract with LMTs and Yoga Instructors (e.g. independent contractors). Assists in providing training on departmental operations.
5. Has a comprehensive knowledge of all spa services and pricing. Proposes modifications.
6. Purchases spa products, linens, and supplies. Controls spa inventory within budgetary guidelines. Always maintain adequate supplies. Ensures that proper purchasing and inventory documentation is maintained.
7. Communicates with General Manager and Assistant General Manager regarding any guest requests or problems. Determines, recommends, and implements the appropriate guest recovery response.
8. Establishes and follows operational policies and procedures, including those for safety and security of all team members and guests during each shift. Ensures compliance with NM State and Federal regulations, emphasizing spa industry and best practices.
9. Actively utilizes Spa management computer systems and trains staff in usage. Adept in using POS system and how to respond to technology problems that arise.
10. Communicates effectively with Ojo Spa Resorts departments: Accounting; Human Resources; IT; Marketing; Projects (Facilities); LMT Liaison. Submits paperwork (hard and electronic copies) in a timely manner.
11. Collaborates with the Facility Manager and the Housekeeping Manager to ensure that the Spa facilities are well maintained in a timely manner.
12. Collaborates with the Guest Services Manager/Front Desk Manager to ensure high quality service.
13. Handles daily paper and electronic work; responds to emails and texts in a timely manner.
14. Processes the independent contractors’ invoices in a timely manner. (e.g. LMTs and Yoga instructors) Processes payroll for employees of the department.
15. Ensures Spa areas are immaculate, safe, and in good repair.
16. Is CPR/AED/First Aid certified. Understands first aid/emergency procedures and can direct guests accordingly.
17. Collaborates graciously with resort department managers.
SUPERVISION:
1. Maintains a competent and motivated team, creating a learning environment which maximizes productivity, skill development and spa team retention.
2. Responsible for individual and team performance management and disciplinary procedures for Spa Team members.
3. Collaborates with the HR Team to respond to employee relations and performance management situations. Documents situations on “Performance Improvement Forms” (PIF’s) and provides PIF’s in a timely manner.
4. Dedicates daily attention to overseeing the activities of all team members and of department operations.
5. Creates a positive learning environment by providing clear, specific, timely and respectful coaching and feedback to team members, to ensure operational excellence, improve overall performance, and create excellent guest experiences.
6. Supports team members by positively reinforcing successful performance and giving respectful and encouraging coaching, as needed.
7. Trains or assigns training of new workers by motivating, while simultaneously making sure that they understand the correct way of going about their daily tasks. Utilizes employee handbook, SOPs, training manuals, and checklists to onboard new employees.
8. Maintains a calm demeanor when confronted with difficult situations, to set a positive example for team members and guests.
9. Develops positive relationships with Spa team by understanding and addressing individual motivation, needs and concerns.
Requirements
- Minimum of five years of spa management experience, preferably at a large resort spa.
- First Aid/AED/CPR certification preferred, or willing to become certified.
- Bachelor’s Degree preferred.
- Computer and technology proficient. Excel, Word, Outlook. (Microsoft Office Suite)
- Masterful at actively managing the spa schedule and supporting computer systems/POS.
- Reliable and punctual. Being present in the workplace daily is key to success.
- Ability to work under pressure with a high level of patience and calm demeanor.
- Ability to work evenings, weekends, weekdays, and holidays required.
- Ability to work approximately 45 to 50 hours per week.
- Ability to sit, stand (for eight hours or more a day), reach, lift, bend, kneel, stoop, climb, push, and pull items weighing 40 pounds or less.
- Excellent English communication skills; both written and verbal. Bi-lingual a plus.
- Proven leadership qualities. Ability to work cohesively with all Spa areas and co-workers as part of a team.
- Strong organization and problem-solving skills. Demonstrated success at working multiple priorities simultaneously. Exercising good judgment with guest and employee situations and challenges.
- Financial literacy. Understanding basic P&L statements, budgets, inventory, and forecasting.
