What You Will Do

Ohio Lumex is seeking an organized, customer-focused, and enthusiastic Service & Rental Coordinator to join our team. This administrative position is the central point of contact among customers, service technicians, and the rest of the company, managing instrument rentals, service and repair, and customer service for Ohio Lumex’s products, and scheduling and coordinating service and repair work.

Key Responsibilities

• Serve as the first point of contact for rental, service, and repair inquiries by phone, email, and web
• Prepare quotes and process agreements for instrument rentals, service, and repairs, and obtain customer approvals
• Schedule rental reservations and incoming repairs, calibrations, and preventive maintenance based on equipment and technician availability and customer priorities
• Track rentals and service orders (tickets and RMAs) from start to completion, following up on overdue returns and repair turnaround times
• Coordinate rental check-out and check-in inspections, repairs, calibrations, and warranty claims with service technicians
• Collaborate with the logistics team on inbound and outbound shipping for rental and service instruments
• Close out completed rentals and service orders, including inspection and service reports, calibration certificates, and damage or loss claims
• Resolve scheduling conflicts and reprioritize rental and repair work as needs change
• Keep customers updated on pricing, availability, lead times, and rental and repair status
• Resolve customer issues professionally and escalate technical questions to the appropriate specialists
• Prepare and send customer invoices for rentals, service, and repairs, and follow up on billing questions
• Maintain accurate records of fleet utilization, serial numbers, service history, and calibration certificates

Qualifications

Required Qualifications

• 2 years of experience in administrative, customer service, dispatch, or coordination roles
• High level of organization and attention to detail
• Ability to manage multiple priorities and deadlines at once
• Excellent written and verbal communication skills; works well in individual or group settings
• Proficient with Microsoft Office (Word, Excel, Outlook)
• Comfortable learning technical products and terminology
• Punctual and reliable
• Legally authorized to work in the U.S.
• Must be able to pass random drug screenings and a criminal background check

Preferred Qualifications

• Experience with instrument rentals or equipment service and repair coordination
• Experience with ERP, CRM, or scheduling software
• Knowledge of calibration, RMA, and warranty processes
• Experience with shipping and logistics

Pay: $55,000.00 - $65,000.00 per year
