You'll maintain employee data and records within the Human Resource Information System (HRIS) with the highest level of confidentiality and care. From preparing payroll reports and direct deposits to processing garnishments, tax levies, and benefit deductions, your attention to detail will help ensure employees are supported and valued.
The Payroll Specialist also collaborates closely with the Fiscal Office, providing accounting support and serving as a dependable backup for essential functions when needed. This position works under the direction of the Accounting Director.
- Process biweekly payroll for employees, including but not limited to payroll direct deposits, garnishments, wage assignments, and child support orders.
- Distribute payroll reports and ensure accurate and timely delivery to stakeholders including but not limited to 401(k)/retirement contributions, HSA contributions, and FSA contributions.
- Review data regarding quarterly and end of year payroll taxes including but not limited to W-2, 1095, and 941 forms.
- Collaborate with the Accounting and Human Resources Director to resolve payroll-related issues and discrepancies.
- Analyze payroll data, identify trends or discrepancies, and recommend process improvements to enhance efficiency and accuracy.
- Stay updated on payroll laws, regulations, and best practices to ensure compliance and mitigate risks.
- Process payroll audits, compliance reviews, and reporting as required.
- Reconciliation of accounts for the Fiscal department.
- Serves as backup for the Accounts Payable Specialist.
- Perform other duties as assigned.Education and Experience Requirements:
- Associate degree in accounting, finance, or related field or two years of professional payroll or accounting experience or an equivalent combination of education and experience.
- Proven experience as a Payroll Specialist or similar role, with knowledge of payroll processing procedures and regulations.
- Strong analytical skills, attention to detail, and ability to exercise discretion and independent judgment.
- Proficiency in payroll software and MS Office, particularly Excel.
- Excellent communication and interpersonal skills, with the ability to collaborate effectively with cross- functional teams.
- Knowledge of HR policies and procedures related to payroll, benefits, and compliance.
- Certified Payroll Professional (CPP) designation preferred but not required.
- Maintain strict confidentiality and professional discretion regarding sensitive and proprietary information.
