ARTS TECHNICIAN

Department: Community and Economic Development

Division: Cultural Services

Work hours: Must be available to work during days, nights, and weekend events. This is a Part Time position - up to 29 hours per week.

Rate of pay: $16.00 - $20.00 per hour (Depending on qualifications and experience.)

GENERAL PURPOSE

This position will provide administrative support to the Arts Administrator for programs such as Public Art, Arts Grants, Art Calls, Arts Events and Arts Advisory Committee. This position will also serve as event support staff for events organized or supported by the Cultural Services Division. Receives direct supervision from the Arts Administrator.

Essential Job Junctions

Administrative Support:

  • Provide professional administrative assistance to the Arts Administrator in support of programs including public art, arts grants, Community Art Show, artist calls, and art events.
  • Perform general clerical tasks such as scanning, copying, filing, and organizing documents.
  • Assist with budget tracking, retention of receipts and invoices, and preparation of reports.
  • Create and manage service agreements, artist honorariums, and other documentation needed for financial processing.

Public Art Program

  • Assist in maintaining records for public art projects, including images, artist information, and maintenance logs.
  • Assist in planning and execution of public art events such as groundbreakings and ribbon cuttings.
  • Track and archive new murals and public art installations, update website accordingly.
  • Support the preparation, submission, and review process for RFQs and art calls, including tabulating scores and meeting support.

Arts Advisory Committee Support

  • Attend monthly Arts Committee meetings and serve as meeting minutes backup when needed.
  • Prepare committee welcome packets and assist with onboarding/offboarding tasks such as drafting Mayor's correspondence and official updates.
  • Assist with preparation and documentation for committee voting and decision-making.

Event Support

  • Assist with event planning and logistics for the Mayor's Awards in the Arts, including nominee tracking, honoree outreach, and coordination of all event needs (e.g., catering, printing, awards, and program design).
  • Provide support for the Dumke Arts Plaza programming and other cultural events.
  • Assist with the Community Art Show in collaboration with the staff and Show Manager.
  • Serve as on-site support staff for Ogden City and partner events, which may include setup, teardown, and general logistics.

Communications and Outreach

  • Respond to public inquiries about arts programs and events.
  • Share relevant information with the Marketing and Communications Coordinator for promotion on social media and digital platforms.
  • Assist with email list maintenance and updates to artist databases and webpages.
  • Attend and support monthly First Friday Art Stroll events.

Compliance, Reporting, And Evaluation

  • Assist in preparing quarterly updates for the Arts Administrator.
  • Support the collection and review of data for grant reporting, program evaluation, and impact tracking.

ticipate in required safety and risk management training.

Other Responsibilities

  • Maintain punctual and consistent attendance.
  • Engage collaboratively with co-workers, city staff, and the public in a positive and professional manner.
  • Perform other related duties as assigned

# EDUCATION AND EXPERIENCE REQUIREMENTS

  • Experience in arts administration and/or education in an arts-related field preferred.
  • High school diploma or its equivalent required.
  • Proficiency in Microsoft suite of programs required.

# SPECIAL REQUIREMENTS

  • Possession of, or ability to obtain, an appropriate, valid Utah driver's license is equired.
  • Customer Service and effective public communication.
  • Employees will be required to complete annual required trainings, preventing harassment, cyber-security, safe driving, etc.

# KNOWLEDGE, SKILLS, AND ABILITIES

  • Knowledge of arts administration, event coordination, and public art practices.
  • Understanding of principles and practices of program development, project management, and community engagement.
  • Strong organizational and time-management skills, with the ability to manage multiple tasks and meet deadlines.
  • Effective communication skills, both written and verbal, including taking meeting minutes and preparing reports.
  • Proficiency in Microsoft Office Suite and the ability to learn and use web-based database systems.
  • Ability to work both independently and collaboratively in a team environment.
  • Skill in providing excellent customer service and working respectfully with different individuals and groups.
  • Ability to research, evaluate, and implement efficient processes and creative solutions.
  • High level of integrity, sound judgment, and attention to detail.
  • Ability to establish and maintain effective working relationships with colleagues, partners, artists, and the public.
  • Willingness to occasionally perform physically demanding tasks (event setup/teardown).
  • Familiarity with the principles of risk management and safety in public events and government settings.

# WORKING CONDITIONS & PHYSICAL REQUIREMENTS

  • Work environment is primarily indoors and occasionally outdoors, which may expose the employee to moderate to very loud noises, wet or humid conditions, moving mechanical parts, high and precarious places, outdoor weather conditions, extreme heat, risk of electrical shock, and vibrations.
  • This position occasionally requires heavy work which requires exerting up to 50 pounds of force occasionally, up to 25 pounds frequently, and/or up to 10 pounds of force constantly to move objects.
  • Must possess the visual ability to see clearly at close (less than 20 inches) and far (20 feet or more) distances, identify and distinguish colors, observe an area that can be seen up and down or the left and right while eyes are fixed on a given point, judge distances and spatial relationships, and adjust the eye to bring an object into sharp focus.
  • Maintain physical condition appropriate to the performance of assigned duties and responsibilities that may include the following Additionally, the following physical abilities are required: standing, walking, sitting, using hands and fingers to handle or feel, reaching with hands and arms, climbing, balancing, stooping, lifting, kneeling, crouching, crawling, talking, hearing, and smelling and operating assigned equipment.
