GENERAL DESCRIPTION
The Law Enforcement Defense Division (LEDD) of the Office of the Attorney General represents the state’s law enforcement agencies and their officials & employees in civil proceedings in both federal and state court. LEDD is seeking a manager to perform legal tasks in the Law Enforcement Defense Division. Work involves creating initial drafts of complex legal documents, coordinating complex discovery documents for use in legal proceedings; assisting attorneys in preparation for trial including organizing notebooks, exhibits and witnesses; and managing attorney’s caseload.

ESSENTIAL POSITION FUNCTIONS
- Plans, directs, coordinates, and monitors administrative activities of the division, including serving as the division’s executive administration liaison, procurement liaison, human resources liaison, and public information coordinator liaison
- Coordinates/maintains division’s official records in compliance with the agency’s Records Retention Schedule and records management requirements
- Initiates all personnel action documentation
Performs budget-related activities under close supervision of division management, including assisting in performance of simple-to-routine budget tasks
- Tracks and reports the division’s leave using the agency’s electronic leave system
- Prepares travel vouchers and documentation related to work-related travel
- Oversees inventory, office space, and telecommunication needs for division
- Attends office manager meetings and training
- Prepares, submits, and enters legal billing reports in accordance with Division legal billing monthly reporting requirements
- Assists in responding to public information requests
- Prepares special division reports/updates, including budget reports, Protecting Texans Report, Settlement Report/Tracking, TDCJ Case Update, and TBPP Case Update
- Coordinates orientation for all new division employees; coordinates offboarding of departing employees
- Assists the division chief/deputy chief with administrative duties, such as: maintaining calendars using Outlook; scheduling meetings and appointments; drafting letters, memos, agendas, and other communications using Microsoft Word; attending meetings; and responding to telephone calls and inquiries
- Oversees and manages all non-attorney staff, including but not limited to assigning and monitoring work, preparing and conducting performance evaluations, providing training and technical assistance, establishing goals and objectives for staff, developing and approving work schedules, ensuring staff are performing assigned job duties, conducting staff meetings and preparing a corresponding agenda, conducting corrective actions; and resolving work-related conflicts
- Performs related work as assigned

MINIMUM QUALIFICATIONS
- Education: Graduation from high school or equivalent
- Education: Graduation from an accredited four-year college or university with major coursework in law or a related field. Experience and education may be substituted for one another on a year for year basis
- Experience: Six years of full-time experience working in the following (or closely related) fields: business administration, office management, legal services, customer service Knowledge of relevant law and legal principles and practices
- Experience working with attorneys, legal assistants, and legal secretaries
- Experience in supervising, mentoring, and training employees Skill in exercising sound judgment and effective decision making
- Excellent organization/administrative skills, including a strong, consistent attention to detail and organized work style
- Skill in handling multiple tasks, prioritizing, and meeting deadlines
- Skill in effective oral and written communication
- Skill in using logic and reasoning to identify strengths and weaknesses of alternative solutions or approaches to problem
- Ability to receive and respond positively to constructive feedback
- Ability to work cooperatively with others in a professional office environment
- Ability to provide excellent customer service
- Ability to work more than 40 hours as needed and in compliance with the FLSA
- Ability to work in person at assigned OAG work location, perform all assigned tasks at designated OAG workspace within OAG work location, and perform in-person work with coworkers (e.g., collaborating, training, mentoring) for the entirety of every work week (unless on approved leave)
- Ability to lift and relocate 30 lbs.
- Ability to arrange for personal transportation for business-related travel
- Ability to travel (including overnight travel) up to 10%
PREFERRED QUALIFICATIONS
- Experience: Working in a high-paced litigation environment
- Education: Graduation from a course of study for paralegals
- Knowledge: Civil litigation terminology, LCMS (Legal Case Management System); policies and procedures of the Office of the Attorney General
- Knowledge in the following software: Microsoft Word, Pacer, E-PRO, Excel; CAPPS (Centralized Accounting and Payroll/Personnel System)
