The State Facility Travel Program is seeking a highly organized and detail-oriented individual for a temporary, full-time position as a State Facility Travel Program Assistant Coordinator. This position will provide essential assistance to the State Facility Travel Program Coordinator during a period of significant workload and process stabilization, particularly concerning the recruitment, onboarding, and tracking of contract workers and traveling employees.
The Program Support Specialist will focus primarily on supporting the operational aspects of the Travel Program, including:
Recruitment and Onboarding SupportAssisting the Coordinator in the recruitment cycle for traveling employees, which may include screening applications and scheduling interviews.
Assist with conducting initial interviews for potential travel program candidates.
Acting as a liaison between candidates and field management to ensure a smooth transition for new hires.
Assist with communicating clearly and proactively with candidates regarding onboarding requirements and status updates.
Ensuring all necessary documentation for new contract workers and traveling employees is collected and accurately entered into relevant tracking systems.
Maintaining in-depth tracking systems for all contract workers associated with the State Facility Travel Program.
Accurately entering, monitoring, and updating program data, including contract durations, facility assignments, and compliance metrics.
Generating regular reports on contract worker status, onboarding progress, and other key program metrics.
Identifying and reporting potential tracking or compliance issues to the Program Coordinator promptly.
Performing various administrative tasks as required by the Travel Program Coordinator.
Assisting in the documentation and refinement of current travel program processes.
Proven experience in an administrative, human resources, or program support role.
Exceptional organizational skills and meticulous attention to detail.
Strong verbal and written communication skills.
Proficiency in data entry, tracking systems (e.g., spreadsheets/databases), and Google Workspace (Docs, Sheets) and/or Microsoft Office Suite (Word, Excel).
Ability to handle sensitive and confidential information with discretion.
A proactive and self-motivated approach, with the ability to manage a significant workload and shifting priorities.
Note: this is a temporary, full-time position. The duration of employment will be determined based on the stabilization of the State Facility Travel Program. Compensation will be commensurate with experience.
