GENERAL SUMMARY:
Under general supervision of the branch manager, responsible for the coordination of the branch office staff. Supervises the activities of general office operations. Participates in the formulation and implementation of policies and procedures. Assesses, evaluates and recommends improvements to the branch manager. Works with Education Coordinators to develop training and orientation for clerical new hires. Works with Operations Director to coordinate and research opportunities for employee growth and development involving the clerical staff. Assists Branch Manager with duties as necessary.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
- Coordinates the distribution of daily work load assignments and activities of office staff, e.g., phone coverage, requisition of supplies, physician orders, etc.
- Participates in the interviewing and selection of office staff, the evaluation of performance of staff and recommends to the branch manager disciplinary actions and termination of staff as necessary. Develops orientation schedule for clerical new hires.
- Assists with the development and implementation of orientation and continuing education for office staff.
- Coordinates the forwarding and receipt of timely internal and external communication to ensure compliance with accreditation and reimbursement guidelines.
- Performs a number of general secretarial duties such as scheduling and confirming appointments and conferences, composing and typing correspondence, receiving and screening visitors and routing incoming mail.
- Types a variety of material from rough draft or dictation, such as statistical tables or charts, technical reports, forms, medical correspondence, field staff documentation, personal letters, and so forth. Distributes completed materials to appropriate person/department.
- Assures the maintenance and confidentiality of office, medical and administrative files, e.g., personnel, payroll, requisitions, etc.
- Coordinates and processes payroll for branch office. Coordinates office staff vacation schedules as needed.
- Serves as a resource for team members, clients, medical staff and other professionals regarding private duty services.
- Provides input into planning through regular meetings with the branch manager and through daily operations.
- Participate in divisional committees and quality management teams, representing the branch office.

- Maintains a safe work environment and practices personal safety techniques to prevent injury to self and others.
- Complies with corporate and divisional policies and procedures.
- Assists in developing productivity requirements for clerical staff.
- Assists in growth and development of Office Coordinators. Coordinates plan for development and growth of clerical staff. Coordinates regular meetings with Office Coordinators.
- Assists Branch Manager with setting agenda for nursing meetings, assists with minutes, and other duties as necessary.
- Coordinates Henry Ford Experience presentation on a weekly basis and daily huddles.
- Perform other related duties and assists staff as required.
EDUCATION/EXPERIENCE REQUIRED:
- High school diploma or G.E.D. equivalent. Some college coursework preferred. Previous leadership experience preferred.
- A minimum of two (2) years of general office experience.
- Must have interpersonal skills to interface with supervisors and employees in order to answer questions and concerns related to Henry Ford Home Health Care/Community Care Services personnel policies and procedures.
- Ability to type a minimum of 55 w.p.m.
- Must have strong organizational and communication skills.
