Position Summary

The HVAC Residential New Construction Assistant Project Manager supports the full project lifecycle from initial estimating and system design through project handoff and execution. This role serves as a key link between Estimating and Project Management, helping ensure projects are accurately scoped, properly designed, clearly documented, and transitioned into production without missed information or unnecessary rework. The position will assist with HVAC load calculations, estimating, takeoffs, project documentation, material and equipment selections, and ongoing coordination between the estimating and project management teams.

Key Responsibilities

Estimating & Design Support

● Assist with Manual J load calculations and other HVAC sizing requirements.

● Review plans, specifications, architectural drawings, and project requirements.

● Perform material, equipment, and labor takeoffs.

● Assist with preparation of residential new construction estimates and proposals.

● Verify equipment selections, system requirements, quantities, and project scope.

● Identify plan discrepancies, missing information, and potential scope conflicts before projects move into production.

● Maintain accurate estimating files, drawings, documentation, and project information.

Estimating to Project Management Handoff

● Facilitate the transition of awarded projects from Estimating to Project Management.

● Ensure project scope, assumptions, equipment selections, labor requirements, exclusions, and special conditions are clearly communicated.

● Help verify that project documentation is complete before production begins.

● Participate in project turnover and kickoff meetings as needed.

● Communicate changes or clarifications between Estimating, Project Management, purchasing, field operations, and other stakeholders.

Project Management Support

● Assist Project Managers with project setup, documentation, scheduling information, and material requirements.

● Support equipment and material procurement coordination.

● Track plans, revisions, selections, change orders, and other project documentation.

● Help maintain accurate project records throughout the lifecycle of the job.

● Assist with resolving scope, design, and estimating questions that arise during construction.

● Support project closeout and documentation requirements as needed.

Operational Coordination

● Maintain organized and accurate project information to reduce errors, delays, and rework.

● Communicate proactively when project information, selections, approvals, or documentation are missing.

● Help ensure estimating decisions are properly translated into executable field plans.

● Work collaboratively with Estimators, Project Managers, purchasing, field leadership, builders, and internal operations.

● Support continuous improvement of estimating, handoff, and project management processes.

Qualifications

● HVAC experience required; residential new construction experience strongly preferred.

● Understanding of HVAC equipment, duct systems, system sizing, and installation requirements.

● Experience with or ability to learn Manual J load calculations.

● Ability to read and interpret residential construction plans and specifications.

● Estimating, takeoff, project coordination, or assistant project management experience preferred.

● Strong attention to detail and organizational skills.

● Ability to manage multiple projects and priorities simultaneously.

● Strong written and verbal communication skills.

● Comfortable working across departments and following projects from estimate through execution.

● Proficiency with construction, estimating, HVAC design, and Microsoft Office software preferred.

Success means projects move from Estimating into Project Management with accurate scope, complete documentation, proper system design, and minimal downstream clarification or rework. The Assistant Project Manager should increase estimating and Project Manager capacity while improving the quality and consistency of project handoffs.

Salary : $52,257 - $80,422
