Position Summary
The Office Administrator plays a vital role in supporting daily operations, HR onboarding, data management, and resident engagement. This position ensures smooth administrative workflows and contributes to the overall efficiency of our case management and billing systems.
Key Responsibilities
· Maintain accurate and timely entry of client and operational data into our systems.
· Support document collection and digital filing protocols.
· Assist with onboarding new hires including document collection (I-9, W-4, direct deposit, background checks).
· Coordinate with HR and leadership to ensure compliance with ODAT’s policies.
· Conduct monthly resident surveys using ODAT’s designated platform.
· Compile and report survey results to program leads.
· Learn and become proficient in SETWorks, ODAT’s case management system.
· Provide internal support and troubleshooting for staff using the system.
· Assist with billing tasks including invoice tracking, service authorization entries, and reconciliation support.
· Coordinate with finance and program leads to ensure billing accuracy.
· Manage office supplies, equipment, and vendor coordination.
· Support scheduling, meeting logistics, and internal communications.
Qualifications
· Prior experience in administrative or office support roles (1–2 years preferred).
· Familiarity with HR onboarding processes and documentation.
· Strong organizational and communication skills.
· Proficiency in Microsoft Office Suite and digital platforms.
· Ability to work independently and collaboratively in a fast-paced environment.
· Experience with case management or billing systems (SETWorks experience is a plus).
Compensation & Benefits
· Hourly rate based on experience and employment status.
