Job Description Office Specialist – Bus Operations Under general supervision, the Office Specialist provides a broad range of technical and administrative support to base management, Coach Operators, and operational staff. This role supports daily office functions, coordinates key activities, and helps ensure compliance, communication, and efficient operations within OCTA’s Bus Operations environment. This is a non-exempt position at salary grade 145; Min – $26.20 | Mid – $31.30 | Max – $36.39/hour. The starting salary will be within the established range based on qualifications. This posting will remain open until a candidate is selected. What You’ll Do Provide administrative and clerical support to base management and operations staff Collect and compile data for reports, special projects, and budget tracking Process financial documents including requisitions, expense reports, and travel requests Coordinate meetings, training sessions, and division events Schedule Coach Operators for required training and maintain compliance records Monitor DMV records to ensure certification requirements are met Review and proof documents for accuracy and adherence to policies Assist Coach Operators with payroll, vacation scheduling, bids, and certification issues Maintain office records, filing systems, and purchasing card transactions Support budget coordination and monitor expenditures Maintain and update office systems, procedures, and software tools What We’re Looking For High school diploma or equivalent Minimum of three years of clerical or administrative experience (public transportation experience preferred) Strong organizational and multitasking skills Attention to detail and accuracy in handling documents and data Effective written and verbal communication skills Ability to work in a fast-paced, team-oriented environment Proficiency in Microsoft Office and general office systems (experience with ACORS or similar systems is a plus) Why You’ll Love It Here Play a key role supporting daily transit operations Work closely with operations staff and Coach Operators Contribute to a team that delivers safe and reliable transportation services Stable, mission-driven public agency environment Competitive compensation and comprehensive benefits Join a team where innovation, integrity, and strategic thinking are valued.
