Responsibilities
Weekly Tasks
- Process A/P and A/R (for clients and monthly office expenditures)
- Reconcile client appointments with time entries and document fees
- Prepare weekly billing report with billable hours collected from attorney(s) and staff and invoice clients as approved by managing partner
- Confirm that all fees paid on behalf of a client are entered into client’s EXPENSES in CLIO (Filing Fees, Deed recording fees, and Federal Express Delivery Fees, etc.)
- Email outstanding invoices to clients
- A/R collections
- Review IOLTA (trust) funds to pending time entries/unfiled work; Alert managing attorney if more funds are needed.
- Apply IOLTA (trust) funds to invoices (billable time entries and document fees); Request additional funds as per managing attorney
- Prepare report advising managing attorney of IOLTA funds that need to be transferred to Operating account when EST PLN drafts are sent; confirm all document fees are billed and collected
Monthly Tasks
- Review GSCCCA for filing fees to bill to clients
- Review credit card statements for filing fees to bill to clients
- Reconcile outstanding checks
- Reconcile credit card expenditures and client invoices
- Invoice clients for all time entries from that month
Administrative Tasks
- Back up receptionist
- Other duties as assigned

Minimum Qualifications
- H.S. diploma five years’ related experience in a similar role, OR
- Preferred Associate's (A.A.) degree related field with three years’ experience and/or training; or equivalent combination of education and experience
- Proficiency in MS Word, Excel and Outlook; Preferred QuickBooks online knowledge
- Clean background check
- Reliable transportation
- Available to work full time in our office in downtown Watkinsville
- Preferred: up to date on annual vaccinations (Flu, Covid, etc.) due to work with high-risk elderly clients
