What are the responsibilities and job description for the Human Resources and Fleet Assistant position at Occupational Training Center?
The Human Resources and Fleet Assistant reports to the Human Resources and Employee Engagement Director, provides administrative support, and coordinates various aspects of systems, events, documents, etc. for the human resources department for the Occupational Training Center of Burlington County (OTC).
Ø Manages preparing new hire orientation information packages, reviewing any information that is submitted in the system for pre-boarding and assisting with new hire orientation on an ongoing basis or as required.
Ø Disseminates new hire documentation to all appropriate departments including but not limited to Human Resources, and reviewing in the on-line system as required.
Ø Responsible for setting up personnel files for all new hires, coordinating and maintaining appropriate personnel files and medical records for all new, existing and terminated employees in a timely and accurate manner, and in the system as required by the department.
Ø Responsible for assisting department personnel in carrying out assigned human resources programs and procedures such as recruiting, benefits, and assisting staff with any questions. Support members of the HR team by providing support services such as reporting, copying, filing, faxing, mailing and assisting in or preparing correspondence.
Ø Assists employees with requests regarding Human Resources issues, rules, and regulations.
Ø Maintains the DOT Driver Qualification Checklist and the tracking of the Drivers Defensive Driving Course annually through Safety Serve and any applicable reporting.
Ø Completes all related requirements for Fleet Insurance, Registration, Disposal and any related follow up documentation as needed for Fleet vehicle maintenance duties.
Ø Provides back up support to the receptionist/switchboard operator as needed.
Ø Provides support for Departmental Audits conducted.
Ø Originates new hire personnel files ensuring their completeness in terms of properly completed documentation and forms.
Ø Responsible for the administration of driver abstracts every six months to ensure compliancy and follow-up with any departments as required.
Ø Updates and Distributions of COI, Vehicles, Vehicle registration and Vehicle Insurance cards.
Ø Administration of the DocuVault processes including tracking of the documents in the boxes, recalling the documents as required and any related duties to this.
Ø Assists with recruitment activities (Job Fairs), the applicant tracking system, phone screens or any other related duties as required.
Ø Cooperates with OTC, The Department of Human Services, The Division of Developmental Disabilities (DDD), and other licensing or state agency or local municipalities in any inspections and investigations, upon request.
Ø Responsible for the Employee Equipment distribution/return process tracking the forms, obtaining signatures, uploading files into the system or putting the paper documents into the physical personnel files.
Ø Performs other duties as assigned or requested.
