What are the responsibilities and job description for the Administrative Assistant position at Occupational Training Center?
The Management Specialist provides support to the Director of the OTC recycling program in the following areas:
- Implementing current program policies and procedures
- Assessing and improving organizational capabilities
- Future program work planning and new program development
- Providing overall administrative support
- Prepare specific operating reports for either internal or external distribution such as monthly tonnage reports to Burlington County.
- Conduct planning and research that relate to either evaluating current OTC recycling collection or processing operations or potential upgrades to these operations.
- Assist in identifying new technology and equipment for recycling operations.
- Participate in department manager meetings and maintain meeting notes.
- Maintain and update the Recycling Department work management plan.
- Support OTC in its mission to promote the employment, training and development of people with disabilities.
- Participate in safety meetings for the purpose of helping to identify and resolve safety issues and assisting managers in making further improvements to the OTC occupational health and safety program.
- Prepare and monitor all paperwork required for expense reimbursement and payment for services .
- Manage all aspects of purchasing including purchase of capital equipment and supplies
- Prepare all required documents and paperwork, and monitor all regulations for procuring major capital assets.
- Prepare and monitor account payables and receivables invoicing for all recyclables marketed.
- Manage equipment inventory, purchases, service invoices, and service agreements for drop off container service.
- Manage tonnage reporting to customers and for all recycling operations.
- Assist in the maintenance of long-term, positive working relationships with vendors and collection service customers, including contracting entity (i.e. Burlington County)
- Review and evaluate, at the request of the Director of Recycling Services, specific operating data generated by recycling services staff or computerized information tools utilized by the OTC Recycling program (e.g. scaling system) to determine if they conform to established performance and cost standards.
- Prepare operating and cost reports requested by the Director of Recycling Services.
- Perform other duties from to time to time as requested by the Director of Recycling Services.
- Ability to understand key issues affecting OTC recycling operations such as labor relations, training, recycling collection and processing methods, occupational health and safety and markets for recyclable materials.
- Strong problem solving skills and an excellent ability to make immediate decisions without extra-managerial input.
- Strong record keeping (personnel files, cost records, collection daily reports), logistical and organization skills.
- Ability to conduct research, use computer equipment and software (especially MS Office applications), write effectively, analyze and interpret data and meeting demanding work deadlines.
- Associates degree with minimum of three years management experience.
Salary : $38,600 - $48,900
