Position Summary: The Out-of-School Time (OST) Administrator is responsible for the overall coordination, implementation, and quality assurance of Oaktree’s before-and-after-school and summer learning programs for school-aged children. This role provides instructional leadership by coordinating age-appropriate academic and enrichment curriculum while also overseeing daily program operations, staff supervision, compliance, and administrative functions required for OST programming.

Primary Responsibilities:

Program & Curriculum Coordination

  • Coordinate and support the implementation of hands-on curriculum for school-aged children aligned with OST program requirements, including mathematics, literacy, science, social-emotional learning, and enrichment activities.
  • Ensure curriculum reflects developmentally appropriate practices and Michigan Out-of-School Time (MOST) Standards of Quality.
  • Collaborate with teaching staff and enrichment partners to plan, schedule, and integrate academic and enrichment programming across school-year and summer sessions.
  • Monitor instructional quality and student engagement, making adjustments to improve learning outcomes and participation.

Staff Supervision & Support

  • Supervise OST frontline staff, including Lead Teachers, Assistant Teachers, and enrichment partners.
  • Support staff scheduling, onboarding, training, and ongoing professional development.
  • Provide coaching and feedback to ensure high-quality instruction, positive behavior supports, and safe learning environments.

Administrative & Compliance Responsibilities

  • Oversee daily program operations, including attendance tracking, enrollment documentation, and family communication.
  • Ensure compliance with OST program requirements, licensing or exemption standards, health and safety regulations, and reporting timelines.
  • Coordinate required data entry and monitoring in EZReports and other grant-related systems.
  • Assist with budget monitoring by tracking program-related expenditures in collaboration with administrative staff.

Family & Community Engagement

  • Serve as a primary point of contact for families regarding program expectations, schedules, and student progress.
  • Support family engagement activities, meetings, and communication strategies.
  • Coordinate with community partners, schools, and vendors to enhance program offerings.

Program Evaluation & Continuous Improvement

  • Review attendance, participation, and program data to inform instructional and operational improvements.
  • Support internal and external evaluations, surveys, and reporting required by the OST program.
  • Contribute to grant reporting narratives related to programming, staffing, and outcomes.

Required Qualifications

  • Associate’s degree in education, child development, youth development, social work, or a related field (or equivalent experience).
  • Minimum of 3 years of experience working with school-aged children in an educational, after-school, or youth development setting.
  • Experience coordinating curriculum or programming for school-aged children.
  • Strong organizational and administrative skills.

Preferred Qualifications

  • Bachelor’s degree in education, child development, youth development, social work, or a related field (or equivalent experience).
  • 5 years of experience working with school-aged children in an educational, after-school, or youth development setting.
  • Experience supervising staff in an OST, childcare, or educational setting.
  • Familiarity with Michigan Out-of-School Time (MOST) Standards of Quality.
  • Experience with grant-funded programs, compliance, or reporting systems.
  • Knowledge of social-emotional learning and enrichment-based instructional models.

Pay: Up to $50,000.00 per year
