POSITION SUMMARY: Under minimal supervision, provides administrative support for the Executive suite. Maintains complete confidentiality of materials and information, maintains complex and changeable calendars for multiple Executives. Provides support that maximizes the effectiveness of the executives by fulfilling administrative, project management and scheduling functions.
ESSENTIAL DUTIES:
- Performs supportive administrative tasks which include managing schedules, calendars, phone and email, making travel arrangements, submitting and tracking internal requests, coordinating meetings and group events, and proofreading and editing documents.
- Coordinates and manages multiple projects, exercising rigorous follow-up.
- Anticipates the needs of the executives, independently conducting research and preparing information, thinking analytically, and exercising sound judgment and discretion.
- Identifies process improvement, automation options, and solutions. Develops and implements strategies to enhance efficiencies, coordinating efforts with business entities and partners.
- Composes correspondence, prepares, reproduces and disseminates agendas, letters, reports, forms, financial summaries and other data in an efficient manner. May prepare board package materials, and may prepare minutes for a variety of meetings and events.
- Performs other work-related duties as assigned.
QUALIFICATIONS:
Experience / Training / Education:
- Bachelor's Degree in Business or equivalent knowledge.
- Two to three years relevant experience in project management which would provide a thorough knowledge of modern office practices and procedures.
- Two to three years executive administrative support experience, preferably in a fast-paced, progressive, credit union environment.
Knowledge / Skills / Abilities:
- Must possess the ability to exercise self-awareness, self-regulation, motivation and inspiration, empathy, and be service-oriented, utilizing influence in a positive manner
- Exceptional written and oral communication skills, including technical writing skills, with ability to effectively communicate conceptually and technically across all functional areas of the credit union. Must be diplomatic.
- Strong organizational skills, detail-oriented, problem-solving skills and the ability to handle multiple priorities and meet deadlines.
- Superior attention to detail required.
- Ability to effectively manage multiple concurrent projects and priorities and to balance competing demands for resources.
- Must have personal computer skills and be proficient with Microsoft programs, such as Word and Excel. Also, working knowledge of presentation software such as Harvard Graphics and PowerPoint is desirable. Must be able to type 60 wpm and word process 90 wpm.
The targeted hourly rate range is $26.75 to $33.45. Final offer will be determined based on experience, education, training/certifications and specialized skills.
