NYOS, an acronym for “Not Your Ordinary School”, is a public charter school with two campuses located in North Austin. NYOS educates the whole student. We foster a collegial PreK-12 program that challenges each learner with rigorous academics, innovative strategies, and expectations for civic engagement.


Role Description

The Operations and Safety Coordinator position is focused on data collection and distribution and information dissemination: to make the Chief of Operations & HR and the Operations Department more efficient and effective by creating capacity through data analysis for the Operations teams to focus and prioritize.  This individual will play a critical role in the development and growth of  NYOS Operational Teams. 


Major Responsibilities and Duties:


  • Assist in Capital Project and Project management tracking for the Chief of Operations & HR
  • Participate in Weekly Tactical meetings, providing Ticketing, Reservation, and Energy Use Updates
  • Pull reports from various Operational systems across the organization when necessary
  • Assist in data collection for weekly door reports for the Texas School Safety Center
  • Serve as the primary point of contact and communication liaison for the Chief Level Team, managing high-level correspondence and ensuring timely follow-up on key matters
  • Anticipate the needs of the Chief Level Team and proactively align schedules, data, and deliverables with strategic goals
  • Manage complex scheduling needs across departments, identify conflicts, and propose high-impact solutions to optimize executive capacity
  • Prepare, edit, and review high-stakes communication and presentation materials
  • Coordinate travel, reimbursements, and executive-level event logistics
  • Maintain organized and accessible digital records to ensure institutional continuity and operational efficiency

  • School Safety and Security: 

    • This coordinator is responsible for creating, implementing, and maintaining the school-wide safety drill schedule in alignment with state and campus requirements.
    • Ensure timely, accurate completion and submission of all required state safety reporting and documentation.
    • Perform compliance monitoring and audits
    • Plans and coordinates school safety training for faculty, staff, and students
    • Serve as a liaison between local education agencies, governmental agencies, and local law enforcement agencies to coordinate and promote school safety programs. 
    • Prepare reports to communicate effectively with the faculty and staff.
    • Assist in developing safety reports as needed with the Chief of Operations & HR


    Strategic Project & Initiative Support:


    • Assist in developing safety reports as needed with Chief of Operations & HR
    • Assist in creating tracking reports of Operational teams' work performance and task assessments for the Chief of Operations & HR
    • Track milestones and provide reporting on initiatives aligned with organizational goals and board directives
    • Exercise professional judgment in managing workflows, prioritizing assignments, and advising leadership on potential risks or delays
    • Liaise with internal teams and external partners to coordinate special projects, events, and organizational initiatives requiring senior input

  • Additional Tasks:

    • Assist other members of the Operational leadership team as necessary 
    • Assist with reservations and special events as needed
    • Other duties as assigned
    • Exercise independent discretion in scheduling, document handling, and executive communications
    • Uphold the highest level of confidentiality, professionalism, and ethical standards in all interactions
    • Represent the Chief Level Team in internal and external settings with integrity and a service-oriented mindset
    • Provide support and guidance to administrative team members and contribute to a high-functioning executive office culture
    • Collaborate with the Executive Assistant  to ensure Board meetings are prepared and compliant with legal and policy requirements

    Qualifications:


    • Bachelor’s degree in Administration, business, or related field preferred but not required
    • Careful attention to detail for numerical and written information
    • Neat and organized in work, communications, and appearance 
    • Excellent written communication skills and organization skills
    • Proficiency with Excel/Google Sheets as well as PowerPoint/Google Slides, and database systems
    • Willingness to do what it takes to get a task done well 
    • Experience working in a school is preferable
    • Spanish language proficiency preferred but not required
    • Proficiency with Skyward ERP system preferred
