Job Overview
We are seeking a motivated and organized Front Desk Admin to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative support and exceptional customer service. This position requires strong communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
Responsibilities
- Manage front desk operations, including greeting visitors and answering phone calls with professionalism and courtesy.
- Perform data entry tasks accurately and efficiently using various software applications.
- Maintain organized records and files, ensuring easy access to information as needed.
- Utilize QuickBooks for basic accounting tasks
- Provide support in administrative tasks such as preparing documents, reports, and presentations
- Handle customer inquiries and provide excellent customer service to ensure client satisfaction.
Knowledge, Skills and Abilities
- High level of communication/interpersonal skills
- Ability to work independently and as part of a team
- Excellent verbal and written communication skills
- Possess organizational skills for optimally prioritizing and managing multiple tasks, demonstrating initiative and problem-solving skills
- Maintain a calm professional environment during times when interruptions, disruptions and a stressful environment interfere with the flow of work Ability to maintain the integrity of confidential information
- Solid understanding of spelling, punctuation, capitalization, word usage and sentence structure of the English language
Experience
Previous experience as an Office Assistant or in a similar administrative role is preferred but not required
Strong computer literacy with the ability to learn new software quickly.
Excellent phone etiquette and interpersonal skills for effective communication with clients and colleagues.
A background in customer service is essential for this role, demonstrating the ability to handle inquiries professionally and courteously. Previous experience as an Office Assistant or in a similar administrative role is beneficial.
