Responsibilities
- Greet patients and visitors warmly and professionally, ensuring they feel welcomed and attended to promptly.
- Manage multi-line phone systems to handle incoming calls efficiently, directing inquiries to appropriate staff members.
- Maintain accurate records through data entry, filing, and updating spreadsheets using productivity software such as Microsoft Office and Google Workspace.
- Schedule appointments and manage calendars with precision and timeliness.
- Handle clerical tasks including proofreading documents, word processing, and managing correspondence with attention to detail.
- Support office management activities by organizing supplies, maintaining cleanliness, and ensuring the front desk area and waiting room is welcoming.
- Provide exceptional customer service by addressing inquiries, supporting patient communication, scheduling and prior authorization processing.
Requirements
- Proven experience in office management or administrative roles with strong clerical skills.
- Excellent computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and familiarity with EPIC.
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
- Exceptional phone etiquette and experience managing multi-line phone systems for professional communication.
- Bilingual abilities are highly desirable to serve diverse client needs effectively.
- Experience in customer support roles such as front desk or medical/dental receptionist is preferred.
- Strong time management skills with the ability to prioritize tasks efficiently.
- Technical proficiency in office equipment such as scanners, copiers, and fax machines; familiarity with data entry and filing systems is required.
