Our operations span retail, food service, automotive services, and emerging revenue streams, requiring precise financial configuration, tax compliance, and reporting discipline.

We are looking for a Contractor engagement for a Finance & Accounting Specialist who can own POS configuration, QuickBooks setup, NY tax compliance, payroll review, and ongoing financial accuracy across our operating entities.

Scope of work Overview

This engagement is critical to ensuring end-to-end financial accuracy, from POS transactions to books, payroll, tax filings, and management reporting. You will work closely with IT, HR, Operations and Offshore Accounting team to maintain clean books and audit-ready compliance.

Key Scope of Work

1. Guide IT team in POS Configuration & Controls

• Configure POS systems in compliance with New York State & NYC sales tax rules
• Set up menu-level tax logic across:
  • Dine-in vs Take-out
  • Café items
  • C-Store / Convenience items
  • Car Wash services
  • EV charging
  • ATM income
  • (Phase 2) Lottery sales
• Ensure proper tax treatment for taxable vs non-taxable items
• Maintain accurate mapping between POS and accounting systems

2. QuickBooks (QB) Setup & Chart of Accounts (COA)

• Design and maintain separate, clean COAs for:
  • NuMW Jamaica LLC
    (Cafe, Car Wash, EV, ATM, Lottery – phased)
  • NuAuto Jamaica LLC
    (Repair Services, Parts, State Inspections - Phase 2)
• Configure revenue, COGS, payroll, taxes, merchant fees, and departmental tracking
• Update COA as new revenue streams and services are added

3. Payroll & Bookkeeping Oversight

• Weekly payroll review for accuracy and proper allocation
• Monthly close activities and reconciliation
• Ensure labor costs align with operational departments
• Coordinate with HR on employee classifications, payroll codes, and compliance

4. Reporting & Financial Insights

• Generate custom financial and operational reports as needed:
  • Revenue by service line
  • Tax reports
  • Payroll vs revenue analysis
  • Management and investor-ready summaries
• Support leadership with ad-hoc financial analysis

5. Tax Preparation & Compliance

• Ensure compliance with:
  • NYS sales tax
  • NYC local taxes (as applicable)
  • Payroll taxes
• Prepare and/or coordinate monthly, quarterly, and annual tax filings
• Maintain documentation for audits and regulatory reviews
  

• 5 years in Accounting / Finance / Bookkeeping
• Strong hands-on experience with QuickBooks
• Proven experience understanding POS systems (Square, Toast, Clover, Revel, or similar)
• Deep understanding of New York sales tax rules
• Experience in multi-revenue, retail service environments
• High attention to detail and compliance mindset
• Ability to work independently and own outcomes

• Experience with restaurants, cafés, car washes, or auto repair
• Experience handling multiple legal entities
• Prior exposure to EV charging, ATM income, or lottery accounting
• CPA or EA (not required)

• Deliverables‑based; approx. 10 hours per week.
• Independent contractor role (not employment).
• Must provide own insurance, equipment, and workspace.
