This position maintains internal coordination across shipyard departments and external communication with customers, vendors, and subcontractors. The role requires strong organizational skills, proficiency in Microsoft Office tools, and the ability to prioritize tasks in a fast?paced shipyard environment.

Position Overview
The Production Support Specialist I (Repair) provides administrative support to the Repair Ship Manager, Area Managers, and associated support teams. This position maintains internal coordination across shipyard departments and external communication with customers, vendors, and subcontractors. The role requires strong organizational skills, proficiency in Microsoft Office tools, and the ability to prioritize tasks in a fast?paced shipyard environment.
Key Responsibilities
- Report directly to the Ship Manager and maintain frequent internal communication with Ship Management and shipyard departments.
- Maintain external contact with customers, vendors, and subcontractors.
- Manage office supplies and equipment and oversee daily office operations.
- Answer multiple phone lines and manage the flow of mail, correspondence, filing, and reprographic needs.
- Collect, verify, and enter data to maintain department spreadsheets and reporting documentation.
- Update, run, sort, and distribute departmental reports.
- Prepare correspondence, reports, presentations, and spreadsheets.
- Maintain department records and filing systems.
- Receive and distribute internal office mail to Repair department personnel.
- Provide administrative support and daily data entry for Condition Found Reports (CFRs).
- Coordinate conference room scheduling, audio?visual equipment needs, catering, and special assignments.
- Order office supplies and assist with delivery to Repair personnel as needed.
- Use discretion when handling sensitive company and personnel information.
- Perform other duties as assigned.
Required Qualifications
- High School Diploma or equivalent required.
- Minimum one (1) year of administrative experience.
- Proficiency in Microsoft Word, Outlook, Excel, PowerPoint, and spreadsheet programs.
- Ability to type 55 words per minute.
- Strong communication, organizational, and time?management skills.
- Ability to work independently and as part of a team.
- Flexibility and resourcefulness in a dynamic work environment.
- Ability to understand and follow company policies and procedures.
- Ability to understand general shipyard terminology, including STD, B911, RCC, CFR, Open Plan, and chits.
- Knowledge of shipyard safety requirements and proper use of PPE.
- Ability to physically transit the shipyard and climb stairs.
Work Environment
- Shipyard office and industrial environments.
- Regular interaction with shipyard personnel, management, vendors, and customers.
- Exposure to typical shipyard conditions requiring adherence to safety policies and PPE requirements.
