Overview:
Now What is a creative marketing research and strategy company seeking a highly organized, proactive, and detail-oriented individual to fill a hybrid role combining Office Management and Financial Administration. This individual will support smooth internal operations, liaise with external vendors, and help ensure financial accuracy and efficiency.
About the role
As the Accounting Manager at Now What, you would be responsible for all accounting matters of the company and will work closely with the COO/CFO to drive improvements and efficiencies that support company growth. The Accounting Manager must be able to adapt to an evolving environment and thrive in an entrepreneurial workplace.
Your days will include…
Finance & Accounting Operations
- Maintain books and records in accordance with US GAAP
- Own and continuously improve the monthly close process, including:
- Revenue and COGS recognition
- Accruals and journal entries
- Bank and balance sheet reconciliations
- Maintain fixed asset schedules and depreciation
- Ensure accuracy and completeness of general ledger activity
- Maintain updated cash flow tracking and reporting
Financial Controls, Risk & Compliance
- Establish and maintain internal accounting controls and documentation
- Ensure adherence to approval workflows and segregation of duties
- Identify accounting and financial risks and proactively address them
- Support client compliance requests, audits, and financial reviews
- Coordinate with external auditors and advisors as needed
Tax & Regulatory Compliance
- Oversee independent contractor compliance, including 1099 preparation and filings
- Coordinate with external tax providers on federal, state, and local filings
- Ensure timely and accurate compliance with applicable financial regulations
Cash Management & Banking
- Maintain day-to-day banking relationships
- Monitor cash position and liquidity
- Prepare cash flow analyses and reports for leadership
- Support payment timing and cash planning decisions
Budgeting, Forecasting & Financial Insight
- Assist with annual budgeting and ongoing forecasting processes
- Analyze actuals versus budget and flag key variances
- Prepare financial analyses to support leadership decision-making
- Partner with leadership to provide financial insight that supports growth
People Leadership & Vendor Management
- Manage, mentor, and develop the Finance Administrator
- Review work for accuracy and completeness
- Oversee and coordinate with external accounting, payroll, tax, and insurance vendors
- Identify when additional internal or external resources are needed
Systems, Tools & Process Improvement
- Serve as system owner for accounting and expense management platforms
- Ensure data integrity across accounting, timesheets, payroll, invoicing, and expense systems
- Evaluate, recommend, and implement process improvements and automation
- Partner with Operations to improve workflows related to:
- Statements of Work (SOWs)
- Accounts payable and vendor processes
- Expense and spending policies
Contracts, Insurance & Corporate Administration
- Assist senior finance leadership in managing and maintaining:
- MSAs, SOWs, NDAs, and related agreements
- Manage company insurance plans and coordinate renewals
- Support business planning and special projects as needed
Role Scope & Authority
- Own day-to-day accounting operations and financial controls
- Act as primary internal owner of accounting workflows and systems
- Serve as point of contact for auditors, tax providers, and insurance brokers
- Recommend and implement accounting and process improvements
About You / Qualifications
- Prior experience in a senior accounting role within an ad agency, marketing firm, or professional services environment
- CPA with strong technical knowledge of US GAAP
- 8 years of relevant finance and accounting experience
- Strong working knowledge of QuickBooks Online and expense management platforms
- Comfortable in a fast-paced, entrepreneurial, and creative environment
- Strong interpersonal and communication skills
- Self-starter with sound judgment and a hands-on approach
- Enjoys building structure, improving processes, and scaling operations
