Position Summary:
The Loan Documentation & Verification Specialist plays a critical role in streamlining the mortgage process by managing the ordering and review of essential third-party services and documentation verifications. As part of a newly formed centralized task team, this position supports branch operations by handling high-volume, redundant tasks and collaborating with AI-based tools to ensure data integrity and efficiency.
This role allows loan processors to shift their focus to file readiness and guideline adherence, reducing underwriting touches and accelerating closing timelines. The ideal candidate is detail-oriented, process-driven, and comfortable with technology-driven environments.
Key Responsibilities:
- Review loan application and product information to determine appropriate verification needs
- Order and track IRS Tax Transcripts based on borrower income type and loan product
- Order Verbal Verifications of Employment (VVOEs), income/employment work orders, and follow up as needed
- Manage ordering of appraisals, title insurance, and homeowners insurance (as phased into workflow)
- Utilize AI technology to identify discrepancies between borrower-provided documentation and third-party verifications
- Maintain real-time task dashboards and communicate status updates to processors and branch teams
- Escalate documentation inconsistencies or delays to appropriate team members
- Coordinate with underwriting and compliance teams to ensure all required documentation is complete before submission
- Participate in testing and implementation of AI tools that support the task workflow
Qualifications:
- 1 years of mortgage operations experience, ideally in processing, disclosures, or post-closing
- Working knowledge of loan documentation types and verification processes
- Familiarity with Encompass and automated processing tools preferred
- High attention to detail and organizational skills
- Adaptability to evolving technology and willingness to learn AI-supported processes
- Strong communication and time-management skills
Future Potential:
This position is designed with scalability in mind. As Novus integrates AI into more aspects of the mortgage lifecycle, the role may evolve into one that monitors AI execution, handles exceptions, and supports further automation of manual tasks.
This position is available as a Remote or Onsite position. Qualified candidates who live within commuting distance to the Brookfield office will be considered for the Onsite role. Qualified candidates who live outside a commuting distance will be considered for the Remote role.
Pay range for this position is $24.00 - $28.00 per hour.
