Position Summary
The Project Manager is responsible for the overall success of assigned construction projects from pre-construction through closeout. This role oversees budgeting, subcontractor procurement, scheduling, client communication, risk management, documentation, and financial performance.
Success in this role is measured by maintaining project profitability, achieving schedule milestones, delivering exceptional client experiences, and consistently executing Novus Construction's project management standards.
Key Responsibilities
Project Planning & Pre-Construction
• Complete and maintain all pre-construction handoff documentation.
• Develop a thorough understanding of project contracts, scope, drawings, and specifications.
• Conduct subcontractor scope review meetings prior to issuing purchase orders.
• Identify and proactively manage long lead procurement items.
• Develop procurement strategies that support baseline project schedules.
Budget Management & Cost Control
• Develop and maintain accurate project budgets and forecasts.
• Complete subcontractor buyouts utilizing bid comparison sheets and competitive pricing analysis.
• Maintain accurate cost coding and job cost reporting.
• Track project financial performance and forecast final project outcomes.
• Ensure project margin goals are achieved or exceeded.
• Review labor costs, field productivity, and timekeeping accuracy.
• Ensure all client invoices are submitted and collected in a timely manner.
Schedule Management & Coordination
• Maintain procurement schedules that stay ahead of field operations.
• Manage subcontractor buyouts and material procurement activities.
• Maintain accurate submittal and client selection schedules.
• Identify schedule risks early and implement corrective action plans.
Client & Stakeholder Communication
• Lead weekly Owner-Architect-Contractor (OAC) meetings.
• Publish thorough meeting agendas, notes, and action items.
• Provide weekly project updates to clients.
• Communicate project risks, delays, and solutions proactively.
• Respond to stakeholder communications promptly and professionally.
• Utilize meeting technology and AI documentation tools to ensure accurate project records.
Subcontractor & Vendor Management
• Build and maintain strong subcontractor relationships.
• Ensure subcontractors receive current plan sets and project information.
• Develop detailed scopes of work and purchase orders that eliminate ambiguity.
• Hold subcontractors accountable for schedule, quality, and contract requirements.
Change Order Management
• Ensure all change orders are fully documented, priced, approved, and executed before work begins.
• Track change orders within company systems and maintain accurate budget updates.
• Obtain subcontractor pricing and commitments prior to releasing change order work.
Risk Management
• Verify insurance certificates, W-9s, and compliance documentation before subcontractors begin work.
• Ensure signed purchase orders are in place before work starts.
• Collect lien waivers prior to releasing payments.
• Maintain healthy project cash flow through timely invoicing and collections.
• Verify work completion and quality prior to subcontractor payment approval.
Documentation, Reporting & Compliance
• Maintain complete project records within Buildertrend.
• Track and manage RFIs, submittals, contracts, budgets, and procurement documentation.
• Ensure all project files are organized, complete, and accessible.
• Maintain accurate reporting for monthly project reviews.
Leadership & Team Collaboration
• Lead project teams with professionalism and accountability.
• Support and mentor Project Coordinators and Superintendents.
• Foster a positive, collaborative culture while maintaining high performance expectations.
• Participate in company training and continuous improvement initiatives.

Qualifications
• 3 years of project management experience in commercial construction, public works, tenant improvements, multifamily, healthcare, education, or related sectors.
• Strong understanding of construction contracts, project financials, and scheduling.
• Experience managing multiple projects simultaneously.
• Proficiency with Buildertrend, Procore, Microsoft Excel, Microsoft Outlook, and project management software.
• Strong communication, negotiation, and organizational skills.
• Ability to lead meetings and coordinate diverse project stakeholders.
• OSHA 30 certification preferred.
• Bachelor's degree in Construction Management, Engineering, or related field preferred.
