Position Summary

Noviello Financial Group, an established and growing financial planning and wealth management firm located in Bridgewater, NJ, is seeking an Administrative Specialist to manage key operations for our income tax team.

This is a high-impact, client-facing administrative role responsible for ensuring tax deliverables are accurate, complete, and delivered on time. You will work as a key member of our tax team, serving as the initial point of contact for client tax documents and ensuring strong organization, communication, and workflow efficiency.

This position is not responsible for preparing tax returns but plays a critical role in maintaining the integrity of our tax process and client experience.

Year-round, you will partner with the tax team, working efficiently on document and data intake, maintaining organization, tracking progress, delivering completed returns, and monitoring deadlines.

General Duties

  • Own the tax workflow from intake through filing, ensuring deadlines, accuracy, and timely delivery.
  • Manage client documentation and file organization to ensure completeness and audit readiness.
  • Serve as a critical client contact, providing updates, requesting documentation, and guiding timelines.
  • Track workflow status and progress to keep tax returns moving efficiently.
  • Prepare tax packages for final review, e-signature, and filing.
  • Perform quality checks on tax packages prior to delivery and filing.
  • Process invoicing, payments, and related administrative tasks.
  • Support process improvements and efficiency initiatives.
  • In slow tax periods, participate in other administrative and service functions of the firm.

Minimum Requirements and Capabilities

  • Demonstrates professionalism, a strong work ethic, and a commitment to continuous learning and delivering best-in-class client service.
  • Bachelor’s or Administrative degree, and administrative/professional experience.
  • 4 years of work experience in tax, accounting, or financial services administrative roles, and comfortable supporting high-net worth clients.
  • Experience managing tax workflows and deliverables in a deadline-driven environment.
  • Strong understanding of tax documentation (e.g., W-2s, 1099s, K-1s) and filing timelines.
  • Exceptional organization, attention to detail, and ability to manage competing priorities.
  • Experience supporting multiple professionals in a client-service, team-oriented environment.
  • Proficiency in Microsoft Word, Excel, Outlook, and CRM platforms.
  • Familiarity with tax software (CCH, UltraTax, Lacerte, Drake, etc.).
  • Service mindset and ability to communicate effectively with clients and team members.
  • High level of integrity, professionalism, and an unwavering commitment to confidentiality.
  • Ability to work efficiently in a fast-paced environment and handle seasonal workload demands.
  • Ability to perform occasional in-office physical tasks, including lifting, filing, and equipment movement.
  • Preferred commute time under 30 minutes.

Compensation

  • Full time, in office with flexibility; M – F 9 to 5, 1 day remote after 6 months, outside of tax season
  • Salary: $70k range, based on skills and experience
  • Bonuses, based on firm Incentive Compensation Plan
  • Firm subsidized benefits package including Medical, Dental, Vision, 401K match, Life Ins., Short & Long-Term Disability, and PTO

Pay: $65,000.00 - $70,000.00 per year
