Job Summary
We are seeking an energetic and detail-oriented Med Spa Receptionist to be the welcoming face of our Med Spa facility. In this vital role, you will serve as the first point of contact for clients, ensuring a smooth and professional experience from check-in to check-out. Duties
- Greet clients warmly and professionally, managing all front desk operations with enthusiasm and efficiency
- Schedule appointments using and follow ups
- Manage patient intake forms, medical records, and documentation review to ensure compliance with HIPAA regulations
- Handle multi-line phone systems with excellent phone etiquette, directing calls appropriately and providing outstanding customer service
- Assist with office management tasks such as filing, data entry using Microsoft Office tools.
- Facilitate communication between clients and medical staff to ensure seamless scheduling, intake procedures, and follow-up care
- Process payments and manage financial transactions accurately
- Order and maintain inventory of office supplies, ensuring adequate stock levels.
- Perform other duties assigned by management as needed
Qualifications
- Proven experience in a medical office setting or clinic environment with strong clerical skills
- Excellent computer skills with proficiency in Microsoft Office Suite (Word, Excel)
- Strong understanding of HIPAA regulations and health information management practices
- Exceptional patient service skills combined with professional phone etiquette
- Bilingual abilities are highly desirable to serve diverse patient populations
- Previous clinic or dental office experience is preferred but not required; training will be provided for specific systems used
