Fulfills the mission of Norwich University by overseeing the Campus Activities Board (CAB) and co-curricular programming and assessment. Provides administrative oversight of student clubs and mentorship for club officers and advisors and will work with the Director to track, assess, and report co-curricular participation utilizing campus resources, including the CADETcard and the Engage platform.


Essential Functions

  1. Promotes and supports student clubs; promotes the creation and development of new campus clubs; provides an annual orientation for all clubs; maintains appropriate contact with all clubs, including advisors.
  2. Promotes, organizes, and coordinates campus special events such as Club Fair, organizational fairs/events, movie nights, and other extra-curricular activities.
  3. Advises and mentors the Campus Activities Board planning, executing, and assessing student events.
  4. Assists with the development and evaluation of student recruitment activities.
  5. Provides support and direction for budget planning and spending, event and travel logistics, managing risk and liability, and executing vendor and talent contracts.
  6. Works with student leaders to publish a dynamic calendar of events and activities to enhance the educational mission and the co-curricular experience each academic semester.

  8. Serves as liaison between student leaders and campus departments, including Facilities Operations, Registrar, and Athletics for coordinating events and setups
  9. Prioritizes a series of late-night substance-free programming in collaboration with the Counseling & Wellness Center (CWC) and other campus departments.
  10. Develops and maintains an appropriate student life environment within the Student Center.
  11. Assists in preparing and editing student flyers, posters, literature and other materials prepared by student clubs for on and off-campus distribution. 
  12. Implements and oversees processes for posting/distributing of materials on campus as requested.
  13. Coordinates travel arrangements for student-related travel in accordance with college policies and procedures.
  14. Assists with the development and evaluation of student recruitment activities.
  15. Facilitates and tracks student engagement though a vibrant co-curricular student clubs model
  16. Facilitates outcomes-based experiential and practical leader development opportunities
  17. Mentors and facilitates trainings for club officers and club advisors
  18. Provides support and direction for student club budget management, event approval, fundraising, travel, liability and annual recognition
  19. Facilitates the TAWANI Student Life Grant Fund application and award process and manages the restricted fund.
  20. Recruits, trains, develops, and provides direction for the Student Clubs Coordinator
  21. Utilizes the Engage platform to track and analyze student engagement data.
  22. Maintains accurate records of all Student Activities events (including event proposals, budgets, contacts, contracts, media/publicity, and evaluations).
  23. Maintains and regularly publishes an up-to-date calendar of activities and events that is made readily available to all Norwich University students and the broader Norwich community.
  24. Works with student clubs to meet institutional needs, including support for Admissions and open houses events.
  25. Oversees the Yearbook creation.
  26. Supports War Whoop yearbook operations.
  27. Coordinates efforts with faculty, students, and vendors to ensure the timely production of a yearbook that reflects the University culture and community, and documents student experiences and engagement.
  28. Collaborates with faculty, students, clubs, and vendors to capture photos and other content.
  29. Maintains an annual timeline to ensure that the yearbook is completed and distributed on time, accurately, and professionally.
  30. Assists the planning, design, production, sales, and distribution of the annual yearbook. 
  31. Oversees budgets.
  32. Manages financial accounting, including accounts payable and receivable, and other financial processes in support of Student Affairs.
  33. Assists with strategic budget planning for student clubs.
  34. Supports student clubs and advisors with club finances, including expenditures, deposits, check requests, budget inquiries, travel planning, and contracts.
  35. Processes recreation facility memberships, payments, with CADETcard.
  36. Manages and tracks ticket sales and inventory for Student Affairs programming.
  37. Supports reconciliation of corporate credit cards for Student Affairs personnel.
  38. Supports Student Affairs departments and personnel with student involvement programming and administrative tasks.
  39. Supports campus programming and student involvement initiatives for the Campus Activities Board, intramural sports, New Student Orientation, recreation, student clubs, and volunteerism.
  40. Provides knowledgeable customer support about campus offices, programs, policies, and services, and refers students and guests to campus resources as appropriate.
  41. Assists with the execution of all talent and vendor contracts.
  42. Schedules spaces and services for events.
  43. Provides office, electronic, and phone reception for Student Activities.
  44. Maintains equipment and office supply inventories.
  45. Represents the University at recruitment events on campus and in the community.
  46. Assists with graduation ceremonies.
  47. Contributes to a safe educational and working environment by participating in all drills and training and being prepared to act should a health or safety emergency occur.

  • Maintains confidentiality of sensitive or private information.
  • Communicates with employees, students, and others in a respectful and clear manner.
  • Serves on University committees, councils, workgroups, or other designated bodies as assigned.
  • Achieves, maintains proficiency in, and utilizes computers, telephones, and other job-related equipment, including related systems and software.
  • Speaks, reads, and writes in English.
  • Communicates by telephone, email, letter, in person, or other means or device.
  • Performs other tasks as assigned by supervisor.


Requirements:

  • Bachelor's degree required. Degree in educational leadership, organizational leadership, or a related field preferred. Additional years of experience may substitute for degree.
  • 2 years of professional experience in student engagement, recreation, or a related field.
  • Ability to lead and mentor diverse, dynamic, and disparate student populations.
  • Commitment to student development.
  • Proven record of collaborative work efforts.
  • Ability to recruit, train, motivate, and develop student staff.
  • Demonstrated fiscal responsibility.
  • Ability to prioritize multiple tasks and meet deadlines.
  • Ability to work independently and function as a team-player.
  • Exceptional interpersonal, written, and oral communication skills.
  • Proficiency in MS Office (Word, Excel, SharePoint, Teams, and Outlook). Experience with Engage or similar software is a plus.
  • Able to sit, squat, reach, push, pull, and manipulate related equipment; lift 25 pounds; travel outdoors to various parts of the campus.
  • Evening and weekend work will be required for events and to support campus needs.

Environmental Conditions

  • Indoor work at a computer workstation and at indoor and outdoor events.
  • Low level of exposure to noise, dust, fumes, vibrations, and temperature changes.
