Job Overview:
Our Project Coordinator role will support Project Managers, Engineers, and Sales teams by maintaining project documentation, coordinating communication across departments, and ensuring accurate and timely billing and reporting. This position requires excellent organizational skills, strong communication abilities, and keen attention to detail. The current coordinator is retiring after 35 years and will help with training to ensure a smooth transition.
Responsibilities Include:
- Coordinate communication between internal teams, clients, and subcontractors.
- Support Project Managers in planning and executing installations.
- Review project contracts, proposals, and change orders for accuracy and compliance.
- Track job costs, assist with AIA billing, and maintain accurate data in project software.
- Prepare and manage prevailing wage and certified payroll documentation when required.
- Apply appropriate tax codes and verify project billing details.
- Monitor project progress, ensuring timely updates and documentation.
- Generate regular reports for the Operations Manager and leadership team.
Requirements and Qualifications
- Bachelor’s degree in construction management, project management, or a related field (or equivalent experience).
- Prior experience coordinating construction, electrical, or technology-based projects preferred.
- Excellent written and verbal communication skills.
- Exceptional attention to detail and organizational skills.
- Proficiency in Microsoft Office and project management/accounting software.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Familiarity with AIA billing and prevailing wage reporting is a plus.
