Position Overview:
We are seeking a dedicated and proactive Executive Assistant to support our C-Suite executives. This role is integral to ensuring the smooth operation of executive functions and embodying the values of Axiom in all interactions. The ideal candidate will be a strategic partner with a keen ability to anticipate needs, manage complex schedules, and maintain a high level of professionalism and confidentiality.
Duties & Responsibilities:
Executive Assistant Responsibilities:
- Calendar and Email Management: Efficiently manage executive calendars, coordinating high-level meetings, strategic planning sessions, and engagements both internally and externally.
- Meeting Preparation: Prepare agendas and compile necessary materials for meetings, ensuring all information is accurate and complete.
- Scheduling: Coordinate scheduling for the organization, with a focus on C-Suite needs, including organizing invitations, materials, and booking meeting spaces.
- Travel Arrangements: Coordinate all aspects of executive travel, including flights, accommodations, and transportation, ensuring a seamless travel experience.
- Event Booking: Assist in booking and organizing internal and external events, ensuring alignment with Axiom's vision and standards of excellence.
- Gifting: Manage gifting for staff and clients, reflecting Axiom’s commitment to building long-term, meaningful relationships.
- Office Management: Order office supplies as needed and manage the front desk one day per week, ensuring a welcoming and professional environment.
Personal Assistant Responsibilities:
- Personal Support: Assist the C-Suite, particularly the COO, with personal tasks, maintaining high service levels and confidentiality.
- Calendar Synchronization: Ensure synchronization of personal and professional calendars.
- Appointments and Errands: Schedule personal appointments and run errands as required, anticipating needs based on the calendar.
Qualifications:
- Bachelor’s degree in Business Administration, Communications, or a related field preferred.
- Proficiency in Microsoft Office Suite, particularly Outlook Calendar.
- Exceptional attention to detail with the ability to prioritize, manage, and execute multiple tasks simultaneously.
- Initiative-driven with strong problem-solving skills and minimal need for direction.
- Professional demeanor and understanding of the importance of representing the C-Suite internally and externally.
- Excellent written and verbal communication skills.
- Demonstrates sound judgment, discretion, and appropriate urgency with confidential and sensitive issues.
- High emotional intelligence and ability to maintain professionalism under pressure.
