Talent Acquisition Specialist
JOB SUMMARY:
The Talent Acquisition Specialist is responsible for sourcing, attracting, hiring and onboarding qualified healthcare professionals to meet the staffing needs of Northwestern Medical Center. This role involves developing recruitment strategies, building relationships with nursing schools and professional networks, and ensuring compliance with healthcare regulations throughout the hiring process. It also involves performing the various administrative duties that support this role.
PRE-REQUISITES:
Education: Bachelor’s degree or a combination of education and experience will be considered.
Experience: 1–2 years of experience in recruitment, HR, or administrative coordination.

SCOPE:
Machinery or Equipment Used: computer, basic office equipment
Physical Demands: Moderately sedentary, with some walking and some standing and carrying of light objects. Manual dexterity on keyboard and other office equipment
Working Conditions: Occasionally subjected to pressure due to multiple tasks and projects.

ESSENTIAL FUNCTIONS:
Candidate Sourcing & Screening
- Develop and implement recruitment strategies to attract top talent through job boards, social media, networking events, and partnerships with schools.
- Screen applications and conduct interviews to assess candidate qualifications, experience, and cultural fit.
- Coordinate interview logistics between candidates and hiring managers, ensuring a smooth and timely process.
- Verify credentials and licenses to ensure compliance with regulatory and institutional standards.
- Perform background and reference checks on potential hires.
- Present job offers including determining compensation.
- Maintain accurate candidate records in the applicant tracking system and report on recruitment metrics.
- Attend job fairs and recruitment events to promote the organization and attract candidates.
- Stay current on trends and recruitment best practices to enhance hiring strategies.
Facilitate Student Clinical Rotations and Student Shadows
- Coordinate and schedule clinical placements for students in collaboration with academic institutions and internal departments. Coordinate and schedule student shadow experiences across hospital departments.
- Ensure compliance with organizational policies, state regulations, and accreditation standards for clinical education. Track and report shadow program participation and feedback.
- Manages contracts and student affiliation agreements with universities and colleges in collaboration with contract specialist.
Onboarding Support
- Prepare and distribute onboarding materials for new hires.
- Schedule orientation sessions and ensure completion of required documentation.
- Act as a point of contact for new employees during their initial transition.
- Organizes and plans general orientation for employees, students, and contracted workers in support of an optimal employee experience.
- Maintains human resource compliance by ensuring employee licensure and required postings are kept current.
- Process all new employee, medical staff, and volunteer background screening requirements within 24 hours of completion of paperwork.
Administrative Support
- Prepare offer letters and onboarding materials as needed.
- Maintain confidentiality of candidate and student information.
- Provides conference center and classroom oversight by managing class rosters, schedules, class set ups, food orders, instructor requests for material, equipment needs, and collecting participant feedback.
