About Us

Northwest Michigan Supportive Housing (NMSH) provides housing and supportive services to those experiencing homelessness and mental illness. NMSH helps individuals and families achieve housing stability and improve quality of life. We are seeking an experienced, mission-driven Operations Director to oversee organizational operations, financial management, property administration, compliance, human resources, and data systems while serving as a key strategic partner to the Executive Director.

Position Summary

The Operations Director is a senior leadership position responsible for managing the day-to-day operational infrastructure of NMSH. This role combines nonprofit finance, grant compliance, property operations, human resources, data management, donor administration, and board support.

The ideal candidate is highly organized, analytical, and self-directed, with the ability to balance strategic planning and hands-on execution in a fast-paced nonprofit housing environment.

Key Responsibilities

Financial Management & Grant Compliance

  • Lead day-to-day accounting and financial operations.
  • Process accounts payable and accounts receivable using QuickBooks Online.
  • Track expenses by grant, program, client, and property location.
  • Manage grant budgets, spenddowns, and reimbursement invoicing for federal, state, and local funding sources.
  • Assist with monthly and annual financial reporting..
  • Develop annual budgets in partnership with the Executive Director.
  • Coordinate audits and maintain relationships with accountants and auditors.
  • Manage insurance policies, renewals, claims, and risk management activities.
  • Ensure compliance with federal, state, and local filing requirements.
  • Collect and maintain vendor documentation, including W-9s.

Property & Facilities Operations

  • Oversee operational management of NMSH-owned and leased properties.
  • Coordinate inspections, maintenance activities, and property compliance requirements.
  • Serve as the primary contact for maintenance requests and emergency maintenance communications.
  • Monitor rent collection, utility usage, Housing Assistance Payments (HAP), and security deposits.
  • Support tenant relations, including notices, violations, and lease compliance documentation.
  • Coordinate with property management and maintenance partners.

Data Management & Program Administration

  • Serve as Agency Administrator for the Homeless Management Information System (HMIS).
  • Ensure HMIS data integrity, quality assurance, and reporting accuracy.
  • Monitor client data and coordinate record management with program staff.
  • Develop and maintain operational and program performance dashboards and scorecards.
  • Assist with monthly, quarterly, and annual reports required by funding agencies, including MSHDA and MDHHS.

Grant & Fund Development Support

  • Research and identify grant opportunities aligned with the organization's mission.
  • Support grant application development and grant tracking activities.
  • Manage donor database administration and reporting.
  • Coordinate donor acknowledgment campaigns, fundraising mailings, and development communications.
  • Assist with fundraising event logistics.
  • Prepare organizational publications, including annual reports and fundraising impact reports.

Human Resources & Administrative Operations

  • Administer employee benefits, payroll systems, and leave tracking.
  • Manage Gusto payroll and HR platform administration.
  • Oversee staff technology resources, office equipment, phones, and IT vendor relationships.
  • Monitor organizational compliance requirements, registrations, licenses, and certifications.
  • Support staff onboarding and personnel administration.

Communications & Organizational Support

  • Maintain organizational website and social media presence.
  • Support organizational communications and public-facing materials.
  • Attend Board of Directors and Finance Committee meetings.
  • Prepare agendas, materials, and official meeting minutes.
  • Partner closely with the Executive Director to support strategic initiatives and organizational goals.

Qualifications

Required

  • Bachelor's degree or equivalent professional experience.
  • Minimum of 5 years of experience in nonprofit operations, finance, administration, property management, or a related field.
  • Experience managing multiple priorities and deadlines.
  • Strong financial and analytical skills.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong organizational and project management abilities.
  • Proficiency with Microsoft Office and Google Workspace.
  • Valid driver's license and ability to travel locally as needed.

Preferred

  • Experience with supportive housing, homeless services, or affordable housing programs.
  • Experience with QuickBooks Online, Gusto, HMIS, and donor management software.
  • Grant administration and grant writing experience.
  • Knowledge of HUD, MSHDA, and housing compliance requirements.
  • Experience supporting nonprofit boards and governance activities.
  • Data analysis and reporting experience.
