Duties
- Greet visitors and answer multi-line phone systems with professionalism and courtesy, demonstrating excellent phone etiquette.
- Manage front desk responsibilities, including scheduling appointments, maintaining visitor logs, and handling incoming correspondence.
- Perform data entry, filing, and document proofreading to ensure accuracy and organization of all office records.
- Utilize computer skills to prepare reports, update databases using software such as Microsoft Office, Google Workspace, and QuickBooks for bookkeeping purposes.
- Support office management tasks such as calendar management, scheduling meetings, and coordinating appointments for staff or executives.
- Assist with customer support by responding promptly to inquiries via phone or email, providing excellent service and support.
- Maintain office supplies inventory and perform light administrative duties such as photocopying, faxing, and organizing files to keep the office well-stocked and organized.
Qualifications
- Proven experience in an office environment with clerical or administrative responsibilities.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and familiarity with QuickBooks is highly desirable.
- Excellent organizational skills with the ability to prioritize tasks effectively in a busy setting.
- Exceptional communication skills in both English and bilingual capabilities preferred to serve diverse clients or staff.
- Experience with multi-line phone systems, data entry, filing, proofreading, and calendar management.
- Previous experience as a receptionist—dental or medical—will be considered an asset.
- Demonstrated ability to handle customer service interactions professionally while maintaining a friendly demeanor.
- Strong time management skills with the ability to multitask efficiently while maintaining attention to detail.
- Personal assistant or office management experience is a plus; familiarity with bookkeeping or medical reception duties is advantageous.
