Position Summary
The Charter Marketing Coordinator provides marketing, administrative, and compliance support to a select group of Charter Marketing Managers responsible for Central Agency (CA) yachts within the N&J fleet. This role is responsible for maintaining accurate yacht data, creating marketing assets, organizing documentation, coordinating events, and ensuring compliance with company and industry requirements. The ideal candidate is highly organized, comfortable working with luxury clientele, capable of independent decision-making, and equipped to manage multiple deadlines in a fast-paced environment.
Key Duties & Responsibilities
Yacht Listing & Database Administration
- Create, maintain, and update Yachtfolio listings, including photos, specifications, bookings, crew updates, toys, and charter calendar data.
- Maintain accurate listing agreements and CA documentation to ensure legal and policy compliance.
- Assist with data maintenance and opportunity tracking within CRM, including managing listings, bookings, and lead qualification.
Marketing & Creative Support
- Prepare and design marketing materials including yacht brochures, crew profiles, charter reports, proposals, and email campaigns.
- Coordinate marketing requests through Asana for design, social media, and custom marketing projects.
- Create and distribute single- and multi-yacht email flyers to brokers and clients; collaborate with design for custom events.
Compliance & KYC Support
- Conduct World Checks, sanction searches, and prepare KYC documentation as required.
- Support document stamping, filing, and permissions management through DocuWare.
Administrative & Event Coordination
- Track important charter industry events, yacht calendars, and charter show participation.
- Assist with scheduling, team meeting notes, office guest support, and material procurement (brochures, branded assets, etc.).
- Support local boat shows and charter events, including preparation, logistics, and onsite support.
Communications & Relationship Management
- Communicate professionally with yacht owners, charter managers, crew, brokers, and industry partners to support listing accuracy and marketing updates.
- Liaise with outside listing platforms to coordinate updates for CA yachts.
Required Skills, Experience & Qualifications
Essential Skills
- Excellent written and verbal communication; exceptional interpersonal and customer service skills.
- High attention to detail with strong organizational and time-management skills; ability to work within tight deadlines.
- Ability to exercise discretion and independent judgment relating to client and listing information.
- Proficiency in Microsoft Office Suite; experience with CRM, design tools (Canva) and Adobe preferred.
Experience
- Minimum two years of administrative, marketing, or luxury service experience, preferably in a marine/yachting or high-profile client environment.
Education
- Bachelor’s degree in business, marketing, communications, or related field preferred; relevant experience may substitute.
Work Environment & Physical Requirements
- Position performed primarily in an office; occasional on-site support required at yachts and boat shows.
- Ability to climb stairs on yachts and lift items up to 30 lbs when assisting with boat shows and materials.
