Client Access Specialist - Mental Health Urgent Care

We are seeing a Client Access Specialist to join our team! This position will provide continuous daily supportive services for our Mental Health Urgent Care Clinic. This role will support both Northern Pines clients and staff. This position requires rotating evening and weekend coverage. 

Essential Functions include:

Provide administrative and operations support to clinical staff, including monitoring and coordinating daily team schedules for both office and field-based activities:

• Perform general clerical tasks such as filing, scanning, answering, and directing phone calls, distributing mail, administering forms, confirming appointments, providing appointment reminders to clients, and assisting providers with administrative needs
• Efficiently operate essential office technology, including computers, email platforms, electronic health record (EHR) systems, fax machines, copiers, and multi-line phone systems.
• Conduct the Urgent Care intake process, enter client information and demographics, and admit clients into the MCO program.
• Process referrals for clients referred for MCO ICTS and Stabilization services.

• Administer client screeners, accurately enter results into the EHR, and identify clients requiring provider follow‑up.
• Obtain and update necessary consent forms, including treatment consent, privacy practices, and telehealth consent, ensuring compliance with annual update requirements.
• Routinely verify and update client demographic information such as addresses, phone numbers, and insurance details.
• Request, receive, and process medical, court, police, custody, or guardian records as needed.
• Work with client insurance plans, including verification, addressing insurance-related questions, obtaining prior authorizations, and assisting with insurance denials.
• Provide clients with appropriate resources and support as needed.
• Obtain and document social determinants of health (SDOH) information, and coordinate follow-up for immediate needs (e.g., connecting clients to food resources).
• Manage incoming and outgoing mail and ensure proper distribution.
• Order office supplies as needed through central ordering.
• Upload driver’s license, insurance cards and medication lists and necessary documentation into the EHR.
• Receive and process client payments in the office.
• Collect and record client vital signs—including height, weight, blood pressure, heart rate, and BMI—within the EHR.
• Maintain a clean, welcoming, and professional lobby area, including preparing coffee for clients.
• Interact with clients and clinicians in a professional, respectful manner.
• Collaborate effectively with all programs within Northern Pines.
• Build and maintain productive relationships with community partners.
• Assist with management of the company’s vehicle fleet as needed.
• Obtain custody or legal guardian paperwork as needed and upload send to Records Dept.

Qualifications include:

• Excellent organizational and interpersonal skills
• Ability to multi task, pay close attention to details, work in a fast-paced environment and work independently at times
• Ability to lift 60lbs on an occasional basis
• Sit and/or stand for long periods of time
• Travel is a function of this position; a valid driver's license is required

Compensation & Benefits include:

• A wage of $22.00/ hour
