Responsibilities
- Oversee daily office operations, including front desk management, multi-line phone systems, and greeting visitors with professionalism and warmth
- Coordinate scheduling and calendar management for team members, meetings, and events to optimize productivity
- Manage vendor relationships, process invoices, and handle procurement to ensure timely delivery of supplies and services
- Support human resources functions such as onboarding new staff, maintaining employee records, and assisting with training & development initiatives
- Handle bookkeeping tasks using QuickBooks or similar software, including payroll processing, budgeting support, and expense tracking
- Organize files, maintain accurate records, and ensure compliance with filing protocols for medical or general office documentation
- Assist in event planning for company meetings or community outreach activities to foster team engagement
Qualifications
- Proven experience in office administration or related clerical roles with strong organizational skills
- Supervising experience preferred; capable of overseeing team members or interns effectively
- Familiarity with QuickBooks for bookkeeping and payroll management is highly desirable
- Excellent communication skills with professional phone etiquette and customer service orientation
- Strong multitasking ability with experience managing schedules, vendor relations, and office logistics
- Knowledge of human resources processes including onboarding, training support, and employee record keeping
- Prior experience in medical office management or healthcare settings is a plus but not required
