We are seeking a dependable and organized Office Administrator to support daily operations and help maintain a structured, efficient office environment.
Position Summary
The Office Administrator is responsible for ensuring smooth day-to-day administrative operations. This role supports leadership and staff by managing office systems, coordinating communications, maintaining records, and assisting with organizational tasks.
This position does not include client intake responsibilities or payroll processing.
The ideal candidate is detail-oriented, proactive, professional, and able to maintain confidentiality.
Key Responsibilities Administrative & Office Support
- Manage daily office operations and maintain an organized workspace
- Answer and route phone calls, emails, and inquiries professionally
- Schedule meetings and manage organizational calendars
- Maintain filing systems (digital and physical)
- Draft and format letters, reports, and internal documents
- Order and maintain office supplies
Communication & Coordination
- Serve as a point of contact for general inquiries
- Support internal team communication
- Coordinate meeting logistics and prepare materials as needed
Data & Record Management
- Maintain organized and accurate organizational records
- Update spreadsheets and tracking systems
- Assist with document management and compliance tracking
Organizational Support
- Assist leadership with administrative projects
- Support preparation for events and community initiatives
- Maintain confidentiality and professionalism at all times
Qualifications
- High school diploma required; Associate’s or Bachelor’s degree preferred
- Administrative experience preferred but not required
- Proficiency in Microsoft Office and/or Google Workspace
- Strong written and verbal communication skills
- Excellent organizational and time-management skills
- Ability to multitask and work independently
- Professional demeanor and attention to detail

- Experience working in nonprofit, social services, or community-based organizations (preferred)

First 30 Days – Foundation & Training
Goal: Learn systems and establish workflow consistency.
- Understand FRT’s mission, programs, and structure
- Learn office procedures and communication standards
- Become familiar with filing systems and document organization
- Demonstrate professionalism in handling calls and emails
- Show reliability in attendance and task completion
Success Indicators:
- Minimal supervision needed for routine tasks
- Organized workspace and properly maintained records
- Clear, professional communication
Days 31–60 – Ownership & Efficiency
Goal: Increase independence and improve organization systems.
- Independently manage daily administrative responsibilities
- Identify areas for improving workflow efficiency
- Maintain accurate tracking systems
- Demonstrate strong time management
Success Indicators:
- Tasks completed accurately and on time
- Reduced need for oversight
- Proactive communication about needs or challenges
Days 61–90 – Optimization & Growth
Goal: Operate confidently and contribute to organizational improvement.
- Manage office operations with consistency
- Propose at least 1–2 ideas for improving office systems
- Support leadership without frequent direction
- Maintain professionalism under pressure

Job Type: Temp-to-hire
Pay: $18.00 - $20.00 per hour
Expected hours: 40 per week
