The job of Technology Program Specialist is done for the purpose of providing a blend of administrative, program, and tier one technology support to the assigned department, and serving as a primary point of contact for staff, supporting department operations, and assisting with the helpdesk system.

The role is ideal for someone with strong organizational and communication skills who is willing to learn and support basic technology functions.
  • Supports assigned administrative and department personnel for the purpose of providing assistance with administrative functions including scheduling, recordkeeping, and document preparation. 
  • Serves as the first point of contact for helpdesk requests, creates and manages tickets, and ensures timely follow-up for the purpose of providing technology support to agency staff. 
  • Assists with basic troubleshooting of common technology issues (i.e., password resets, software access, device setup) and escalates complex issues as needed for the purpose of ensuring technology issues are resolved in a timely manner.
  • Supports online platforms (Zoom, Teams, Google etc.) in partnership with assigned department personnel for the purpose of providing a seamless experience for users.
  • Coordinates assigned departmental programs and events for the purpose of ensuring goals are achieved, target dates are met, and financial, legal, and/or administrative requirements are satisfied.
  • Processes a variety of documents and materials for the purpose of disseminating information in compliance with program, agency, state, and federal requirements.
  • Informs staff and other personnel regarding procedures and program requirements for the purpose of providing necessary information to make decisions, take appropriate action, and comply with established standards.
  • Maintains confidential information and files for the purpose of providing an up-to-date reference and audit trail for compliance.
  • Processes and maintains a variety of files and records (manual/computer; confidential/non-confidential) (e.g. purchase orders, vendor payments, timesheets, various databases, billings, contracts, helpdesk documentation etc.) for the purpose of providing documentation in accordance with administrative and legal requirements.
  • Responds to a variety of inquiries from internal and external parties (e.g. staff, school district personnel, public agencies, vendors, etc.) for the purpose of providing information, facilitating communication among parties, and providing direction.
  • Monitors assigned departmental activities and program components (payroll, travel arrangements and reimbursements, purchasing, meetings and events, etc.) for the purpose of ensuring that goals are achieved, target dates are met, and financial, legal, and administrative requirements are satisfied.
  • Participates in team meetings and contributes to a positive, service-oriented work environment.
  • Performs related duties as assigned. Related duties may not specifically be listed but are within the general occupational series and responsibility level typically associated with the employee's classification of work.
SKILLS are required to perform multiple, non-technical tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skills required to satisfactorily perform the functions of the job include:
  • demonstrating excellent verbal and written communication skills, including a customer service focus,
  • demonstrating excellent organization skills,
  • operating standard office equipment including pertinent software applications,
  • planning and managing projects,
  • composing letters, memoranda, and meeting minutes from general instructions or rough notes, and
  • preparing and maintaining accurate records.

KNOWLEDGE is required to perform basic math, including calculations using fractions, percentages, and/or ratios, read a variety of manuals, write documents following prescribed formats, present information to others, and solve practical problems. Specific knowledge required to satisfactorily perform the functions of the job includes:
  • bookkeeping principles,
  • business telephone etiquette,
  • office application software, and
  • expertise in English grammar, spelling, and punctuation.

ABILITY is required to schedule activities, meetings, and/or events, gather and/or collate data, and use basic, job-related equipment. Flexibility is required to work with others in a wide variety of circumstances, work with data utilizing defined but different processes, and operate equipment using defined methods. Ability is also required to work with a wide diversity of individuals, work with a variety of data, and utilize specific, job-related equipment. In working with others, problem solving is required to identify issues and create action plans. Problem solving with data requires independent interpretation of guidelines, and problem solving with equipment is limited. Specific abilities required to satisfactorily perform the functions of the job include:

Responsibility

Responsibilities include working under limited supervision following standardized practices and methods, guiding and coordinating others, and tracking budget expenditures. Utilization of resources from other work units may be required to perform the job's functions. There is a continual opportunity to have some impact on the agency’s services.

Working Environment

The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and pulling, and significant fine finger dexterity. Generally the job requires 70% sitting, 15% walking, and 15% standing. This job is performed in a generally clean and healthy environment.

Experience

Job-related experience in administrative support or customer service required. 
Technology support experience preferred.

Education

High school diploma or equivalent required.
Post high school education or training preferred.
