Purpose Statement
The job of secretary/fingerprint technician is done for the purpose of providing administrative, technology, and program support to assigned departments. This may include, but is not limited to, supporting department staff and programs, supporting virtual meetings, maintaining department records, compiling and distributing a wide variety of materials and reports, and providing fingerprinting services to school district staff, college and university students, and NEWESD 101 staff.
We are looking for someone with a solid skillset, but possibly more importantly, we are looking for someone with a service heart to be a member of our team. There is no requirement to have experience as a fingerprinting technician. We will provide training to the successful applicant.Functions
- Supports assigned administrative and department personnel for the purpose of providing assistance with administrative functions including meeting agency policy, grant, and legal requirements.
- Supports online platforms (Zoom, Teams, etc.) in partnership with assigned department personnel for the purpose of providing a seamless experience for participants.
- Coordinates assigned departmental programs and events for the purpose of ensuring goals are achieved, target dates are met, and financial, legal, and/or administrative requirements are satisfied.
- Coordinates schedules, meetings, and activities for the purpose of supporting administrator/department staff with operational activities.
- Prepares a variety of written materials (e.g. reports, memos, letters, etc.) for the purpose of documenting activities, providing written reference, and conveying information.
- Processes a variety of documents and materials for the purpose of disseminating information in compliance with program, agency, state, and federal requirements.
- Informs staff and other personnel regarding procedures and program requirements for the purpose of providing necessary information for making decisions, taking appropriate action, and complying with established standards.
- Schedules appointments for fingerprinting services for the purpose of providing prompt service to clients.
- Transmits fingerprint records following OSPI requirements for the purpose of ensuring proper documentation of fingerprint results.
- Reconciles daily fees received for fingerprinting services for the purposing of ensuring appropriate fees were collected.
- Maintains confidential information and files for the purpose of providing an up-to-date reference and audit trail for compliance.
- Responds to a variety of inquiries from internal and external parties (e.g. staff, school district personnel, public agencies, etc.) for the purpose of providing information, facilitating communication among parties, and providing direction.
- Monitors assigned departmental activities and program components (payroll, travel arrangements and reimbursements, purchasing, meetings and events, etc.) for the purpose of ensuring that goals are achieved, target dates are met, and financial, legal, and administrative requirements are satisfied.
- Maintains a variety of files and records (manual/computer; confidential/non-confidential) (e.g. purchase orders, vendor payments, timesheets, various databases, billings, contracts etc.) for the purpose of providing documentation in accordance with administrative and legal requirements.
- Meets, greets, and interacts courteously and effectively in person and on the telephone with fingerprint clients, the public, school district staff, and NEWESD 101 staff.
- Provides basic maintenance to the fingerprinting machine for the purpose of ensuring the machine is working properly at all times.
- Performs related duties as assigned. Related duties may not specifically be listed but are within the general occupational series and responsibility level typically associated with the employee's classification of work.
Skills, Knowledge, and Abilities
SKILLS are required to perform multiple, non-technical tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skills required to satisfactorily perform the functions of the job include:

Specific knowledge required to satisfactorily perform the functions of the job includes:

- knowledge of pertinent codes, policies, regulations, and/or laws.

General Requirements
Responsibility
Responsibilities include working under limited supervision following standardized practices and methods, leading, guiding, and coordinating others, and tracking budget expenditures. Utilization of resources from other work units may be required to perform the job's functions. There is a continual opportunity to have some impact on the agency’s services.
Working Environment
The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and pulling, and significant fine finger dexterity. Generally the job requires 70% sitting, 15% walking, and 15% standing. This job is performed in a generally clean and healthy environment.
Experience
Secretarial/administrative support experience is required.
Experience as a fingerprinting technician is not required. We will provide training to the successful applicant.
Education
High School diploma or equivalent required.

Salary : $51,086 - $62,096
