A well-established private equity firm is seeking a proactive Executive Assistant / Office Manager to provide high-level administrative and operational support to the senior leadership team while overseeing the day-to-day management of the firm's New York office. This role combines executive-level support with ownership of office operations, making it ideal for a resourceful professional who thrives in a fast-paced, high-performance environment.The ideal candidate has 5 years of experience supporting senior executives within private equity, investment management, or financial services, and is adept at balancing executive support, team coordination, and operational oversight with discretion and professionalism.Key ResponsibilitiesExecutive SupportProvide dedicated administrative support to senior partners and executives, including complex calendar management, travel coordination, and meeting logisticsPrepare and edit correspondence, presentations, and meeting materials with a high level of accuracy and polishManage priorities, track follow-ups, and ensure timely execution on key deliverablesCoordinate investor and portfolio company meetings, conferences, and events, both domestic and internationalHandle confidential information with sound judgment and discretionOffice ManagementOversee daily office operations, including facilities, vendors, and supplies to ensure a professional and efficient work environmentServe as primary point of contact for the firm's external vendors and building managementSupport onboarding and offboarding processes for employees and contractorsManage expense reports, invoice processing, and budget tracking related to office operationsCoordinate internal events, team meetings, and firmwide communicationsIdentify and implement process improvements to enhance efficiency and organization across the officeQualificationsMinimum 5 years of experience in an Executive Assistant or Office Management role within private equity, investment management, or financial servicesExceptional organizational and multitasking skills; able to anticipate needs and manage shifting prioritiesStrong written and verbal communication abilities, with a professional and polished presenceHigh level of integrity, discretion, and confidentiality in handling sensitive mattersProficient in Microsoft Office Suite; experience with expense and travel management systems preferredHands-on, proactive, and resourceful with a “no task too small” mentalityAbility to work both independently and collaboratively in a small, fast-paced office environmentCompensation & BenefitsBase salary: $120,000 – $160,000 (commensurate with experience)Annual discretionary bonusComprehensive medical, dental, and vision insurance401(k) with employer contributionGenerous paid time off and firm holidaysOpportunity to take ownership of office operations and contribute to a high-caliber, collaborative team
