Administrative Associate – Financial ServicesLocation: White Plains, NY (Onsite, Full-Time)Overview:A growing investment management firm in White Plains is seeking an Administrative Associate to provide direct support to the Tax and Finance teams. This role is ideal for someone with 2–6 years of administrative experience who thrives in a professional, fast-paced environment and enjoys detail-oriented, process-driven work. Prior exposure to tax filings, accounting, or financial services operations is highly preferred.Key Responsibilities:Coordinate documentation, filings, and correspondence for federal and state tax and compliance matters.Maintain organized records for tax notices, entity registrations, and internal reporting logs.Track and manage filing calendars, ensuring deadlines are met across multiple entities.Liaise with service providers, auditors, and external partners to gather and distribute information as needed.Review and route invoices and payment requests related to tax filings and compliance services.Assist with investor data updates, information requests, and general team correspondence.Support ad hoc projects including database maintenance, reporting, and light research tasks.Provide general administrative assistance such as scheduling, documentation prep, and department coordination.Qualifications:Bachelor’s degree preferred.2–6 years of administrative experience, ideally within financial services, investment management, or a tax/accounting-focused team.Strong organizational skills and attention to detail with an ability to manage multiple priorities.Proficient in Excel and comfortable learning new systems and internal tools.Professional communication skills, both written and verbal.Company DescriptionNorthbound Executive Search offers a genuine, hands-on approach to recruiting.
