Event Coordinator
Northampton Country Club – Easton, PA
Northampton Country Club is seeking a highly organized and passionate Event Coordinator to join our vibrant team. Reporting to the Director of Events, you will play a pivotal role in crafting and executing unforgettable events for our esteemed members and guests.
RESPONSIBILITIES:
- Client Communication
- Manage communication with members and event clients by promptly and professionally responding to emails, phone calls, and in person meetings
- Assist in creating and refining Banquet Event Orders (BEOs) with accuracy and attention to detail, ensuring client satisfaction
- Meet with members and clients as needed to discuss event details, answer questions, and address any concerns
- Provide tours of the Clubhouse and banquet areas as needed
- Event Operations
- Work collaboratively with catering, banquet, and other operational teams to deliver exceptional service and experiences
- Monitor event progress, troubleshoot any issues promptly, and adjust plans as needed to ensure a seamless flow
- Document Management
- Maintain accurate and updated BEOs, ensuring all details are clearly outlined and communicated to relevant parties, create timelines and floor plans for each event if necessary
- Prepare event reports and documentation as required, adhering to company guidelines and deadlines
- Assist in making Event Flyers and taking Social Media photos if needed
- Meetings and Collaboration
- Attend weekly Food & Beverage meetings, actively participating in discussions and contributing ideas
- Collaborate effectively with the Director of Events and internal teams to achieve common goals
- Service Excellence
- Partner with team members to maintain and exceed Northampton Country Club’s high standards for service and hospitality
- Proactively identify opportunities to enhance the event experience for guests and members

CLUB INFORMATION:
Northampton Country Club (NCC) is nestled in the heart of the Lehigh Valley, Pennsylvania. NCC is a private club which offers members the finest in golf, tennis, swimming, and superb dining. Beautifully set against a backdrop of mature, tree-lined fairways and large, undulating greens. NCC provides not only spectacular scenery, but also a full range of services and facilities including a driving range, practice green, pro shop, and an inviting pool.
NCC dining options consist of multiple options to unwind after a round of golf or for an elegant dinner with family and friends, the Clubhouse, with its newly added Four seasons room (60 seats), in the main dining room. The lower terrace (outdoor patio, 70 seats) and 1899 bar (40 seats) the most popular seats at the Club, creates the perfect setting for memorable meals. We recently completed the renovation of the Ballroom (235 seats). Food & Beverage revenue consists of about $1.75 M dollars annually.
CANDIDATE EXPERIENCE AND QUALIFICATIONS:
- Minimum of two (2) years of experience in event planning or a related field
- Strong organizational and time management skills with the ability to handle multiple tasks simultaneously
- Excellent written and verbal communication skills, with a focus on professionalism and client service
- Proficient in Microsoft Office Suite and event management software (preferred)
- Detail-oriented with a keen eye for accuracy and a passion for delivering exceptional experiences
- Ability to work independently and as part of a team in a fast-paced environment
- Positive attitude, strong work ethic, and a commitment to continuous learning
