Position
The Membership & Operations Coordinator is a key member of the team responsible for ensuring the efficient day-to-day operations of the Association, with a primary focus on membership processes, data management, reporting, and organizational support.
This role serves as the central point of coordination for membership administration, including invoicing, renewals, reporting, and database management, while also supporting the Executive Director, Association committees, and broader organizational initiatives.
The position plays an important role in maintaining a high standard of professionalism, accuracy, and responsiveness across all member and internal interactions. This individual must be highly organized, detail-oriented, and comfortable managing multiple responsibilities with minimal supervision.

Essential Responsibilities
Membership Administration & Financial Processing
- Manage the full membership lifecycle, including applications, renewals, invoicing, and payment processing
- Maintain accurate member records within the Association’s database and applicable National Association of REALTOR® (NAR) systems
- Ensure member compliance with applicable policies and requirements
- Coordinate with accounting partners to ensure accurate financial tracking and reporting
- Run and distribute monthly membership and financial reports for the Executive Director, Board of Directors, and Membership Committee. Reporting on an ad-hoc basis for other committees as requested.
Database Management & Reporting
- Maintain data integrity across all membership systems
- Generate regular and ad hoc reports to support decision-making, financial oversight, and membership trends
- Identify opportunities to improve processes, reporting accuracy, and system efficiency
Administrative & Organizational Support
- Provide administrative support to the Executive Director, including scheduling, coordination, and project support, as needed
- Support membership-related committees, including meeting preparation, materials, and follow-up
- Assist with Board of Directors support as needed, including preparation of reports and materials
Member & General Office Support
- Serve as a primary point of contact for incoming inquiries via phone, email, and website
- Manage the Association’s general inbox and incoming correspondence
- Ensure timely, professional responses and routing of member and stakeholder inquiries
Event & Education Support
- Coordinate with Marketing and Events team on membership-related aspects of event registration and tracking, promptly process payments as they come in
- Support Continuing Education programming, including registration, payment collection, and on-site coordination
- Assist with maintaining membership-related collateral in collaboration with Marketing and Events
Cross-Team Coordination
- Collaborate with internal teams to ensure consistency in membership communication, processes, and overall member experience
- Support recruitment and retention efforts through accurate data management and process support
Skills and Qualifications
- Strong organizational and time-management skills, with the ability to manage multiple priorities and deadlines
- High attention to detail and accuracy, particularly with financial and data-related tasks
- Clear, professional communicator with the ability to convey information concisely; demonstrates exceptional listening skills and patience
- Excellent interpersonal skills with a service-oriented, polished approach and is comfortable representing the organization professionally in member-facing settings, including meetings and events
- Ability to work independently and exercise sound judgment
- Experience working with CRM or AMS systems preferred
- Proficiency in Microsoft Office Suite
Work Environment and Physical Demands
- Ability to sit or stand for extended periods of time
- May require occasional lifting of materials up to 20 pounds
- Ability to attend meetings and events, including occasional evenings and early mornings
- Ability to perform computer-based work for extended periods
Salary Range: $48,000 - $54,000 based on experience.
