Job Title: Pediatric Medical Assistant – Certified 
Department: Clinical Support 
Reports To: Clinical Support Manager 
FLSA Status: Non-Exempt 

Summary: 

The Pediatric Medical Assistant – Certified (MA-C) works in partnership with a pediatric provider to support safe, efficient, and patient-centered care for patients from newborns through adolescence. This position provides clinical and administrative support across a varied pediatric schedule, including well-child examinations, follow-up and acute visits, immunizations, laboratory testing, procedures, and care coordination. 

Essential Duties and Responsibilities: 

Achieve Results 

  • Support safe and efficient pediatric care through timely clinical and administrative support. 

  • Provide compassionate, respectful, and age-appropriate care to patients and their families. 

  • Maintain accurate, timely patient records in accordance with HIPAA, regulatory requirements, and NOHN policies. 

  • Support patient flow and provider readiness in a high-volume pediatric schedule that includes approximately 20 visits per day. 

Operational Excellence 

  • Perform clinical and administrative duties in accordance with regulatory standards, MA-C scope of practice, and NOHN policies and procedures. 

  • Anticipate the clinical and operational needs of the pediatric provider and patient schedule, including age-specific equipment, supplies, screening tools, immunizations, laboratory testing, and procedure preparation. 

  • Complete and document required pre-visit, visit, and post-visit activities in the electronic health record. 

Relationships 

  • Provide individualized care that recognizes the developmental, psychosocial, educational, cultural, and safety needs of pediatric patients. 

  • Communicate effectively and respectfully with patients, parents, and caregivers, including recognition of the increasing autonomy and privacy needs of adolescent patients. 

  • Maintain collaborative relationships with providers and other members of the care team. 

Stewardship and Professionalism 

  • Uphold the values and mission of NOHN while maintaining patient confidentiality and professional boundaries. 

  • Follow NOHN policies, clinical protocols, and regulatory requirements. 

  • Maintain required MA-C certification and complete assigned education, competencies, and training. 

Primary Tasks and Duties: 

  • Prepare pediatric patients for clinical examinations and visits using age- and developmentally appropriate techniques. 

  • Obtain and accurately document pediatric vital signs and measurements, including temperature, pulse, respirations, blood pressure when appropriate, height or length, weight, head circumference, and other measurements as indicated by patient age and visit type. 

  • Perform age-appropriate screenings and assessments, including vision, hearing, developmental, behavioral, and preventive screenings as ordered or established by protocol. 

  • Review immunization histories and prepare, administer, and document vaccines, medications, and treatments as ordered and within MA-C scope of practice. 

  • Perform authorized point-of-care and CLIA-waived testing, including hemoglobin, bilirubin, infectious disease testing, and other pediatric testing. 

  • Assist providers with examinations and procedures, anticipating workflow, equipment, and supply needs. 

  • Provide age- and developmentally appropriate communication and support to patients and caregivers throughout care. 

  • Complete post-visit activities, including documentation, patient instructions, orders, referrals, scheduling, and follow-up. 

  • Pend prescriptions, testing, imaging, referrals, and other orders and process refill requests according to NOHN workflows. Sign orders if appropriate. 

  • Maintain exam rooms, equipment, instruments, medications, vaccines, emergency supplies, and clinical supplies according to established procedures. 

  • Recognize and promptly communicate abnormal findings, changes in patient condition, and safety concerns requiring further assessment. 

  • Reinforce provider instructions and approved patient and caregiver education. 

  • Train and mentor Medical Assistant staff and contribute to pediatric workflow and training improvements as assigned. 

  • Perform other duties within the MA-C scope of practice as assigned. 

Essential Functions: 

  • Maintain accurate clinical and administrative documentation and effectively use the electronic health record and pediatric clinical equipment. 

  • Work effectively in a fast-paced environment while organizing and prioritizing changing clinical and administrative needs. 

  • Effectively organize and prioritize multiple clinical and administrative responsibilities while maintaining attention to patient safety and quality. 

  • Communicate effectively with pediatric patients, caregivers, providers, and members of the care team. 

  • Provide compassionate and professional care to a diverse patient population, including patients and families experiencing challenging or complex circumstances. 

Qualifications:

Qualifications: 

  • Education: High school diploma or equivalent required. Current Medical Assistant-Certified (MA-C) credential in good standing with the Washington State Department of Health required. 

  • Experience: One to two years of Medical Assistant experience required. Previous pediatric care experience strongly preferred. 

  • Skills: 

  • Knowledge of pediatric clinical workflows, including well-child care, immunizations, age-appropriate measurements and screenings, point-of-care testing, and procedures. 

  • Strong communication, organization, time-management, critical-thinking, and problem-solving skills. 

  • Ability to anticipate patient and provider needs and reprioritize in a high-volume clinical environment. 

  • Ability to work independently and collaboratively as part of a care team. 

  • Ability to manage difficult or emotionally charged situations professionally and compassionately. 

  • Proficiency with electronic health record systems; Epic experience preferred. 

  • Working knowledge of Microsoft applications or willingness to learn. 

  • Language: Effective verbal and written communication skills. Must be able to speak and read English at a level necessary to safely perform the essential functions of the position. 

Physical Demands: 

  • Ability to stand, walk, stoop, bend, reach, push, pull and to lift up to 50 pounds without assistance. 

  • Ability to perform clinical duties requiring fine motor skills and manual dexterity. 

  • Ability to safely assist with positioning, measuring, and supporting pediatric patients of varying ages and sizes. 

Work Environment: 

  • Fast-paced outpatient community health center serving a diverse pediatric patient population and their families. 

  • Regular interaction with newborns, infants, children, adolescents, caregivers, and healthcare staff. 

  • Potential occupational exposure to infectious diseases, blood, body fluids, sharps, medications, and other hazards associated with an outpatient clinical setting. Noise levels are generally moderate and may include multiple simultaneous conversations, crying infants or children, clinical equipment, and other activity.
