What are the responsibilities and job description for the Dental Scheduling Specialist & Coordinator position at North Idaho Dental Group?
Scheduling Coordinator & Scheduling Specialist- Experience Preferred.
North Idaho Dental Group is looking for a reliable, motivated, and personable Scheduling Coordinator & Specialist to join our team.
Schedule: Monday–Thursday, 7:30 AM–4:00 PM
Location: Ponderay, ID
Employment: Full-time
We are looking for someone who understands that excellent scheduling is about much more than putting appointments on a calendar. The right person will build genuine relationships with our patients while also following a clear scheduling system designed to keep our hygiene and operative schedules full, balanced, and productive.
This is a great position for someone who takes direction well, follows systems consistently, and is also self-motivated enough to recognize what needs to be done without always being asked.
What You'll Do
- Schedule and coordinate patient appointments while providing an exceptional patient experience
- Build genuine, positive relationships with patients and make each interaction feel personal
- Maintain a full and productive hygiene and operative schedule
- Follow established scheduling guidelines, protocols, and scheduling "rubrics"
- Proactively fill cancellations and openings rather than simply waiting for patients to call
- Monitor the schedule for opportunities to improve productivity and minimize gaps
- Coordinate with doctors, hygienists, dental assistants, and the front office team to keep the day running smoothly
- Confirm appointments and communicate effectively with patients regarding scheduling needs
- Help patients understand their recommended appointments and facilitate timely scheduling
- Handle scheduling changes and unexpected openings calmly and efficiently
- Maintain accurate patient information and appointment details
- Communicate clearly and professionally with both patients and team members
- Take ownership of the schedule and recognize when something needs attention
- Follow through on assigned responsibilities and consistently meet expectations
What We're Looking For
The ideal candidate is:
- Reliable and consistent — you understand that your presence and dependability matter to the entire team
- Self-motivated — you don't need someone constantly checking in to make sure things get done
- Coach-able — you take direction well and are willing to learn and follow established systems
- Organized — you can manage multiple priorities without losing attention to detail
- Patient-focused — you genuinely enjoy helping people and creating positive patient experiences
- Accountable — you take ownership of your responsibilities and follow through
- Proactive — when you see an opening, problem, or opportunity, you act on it
- Consistent — you understand that following the scheduling system every day is essential to maintaining a productive practice
- A strong communicator — you can communicate professionally and comfortably with patients and teammates
- Team-oriented — you understand that the schedule affects everyone in the practice
What Success Looks Like
Success in this position means creating the right balance between exceptional patient care and an exceptionally well-managed schedule.
You will be expected to develop strong relationships with our patients while consistently applying our scheduling systems and expectations. You should be comfortable working toward measurable scheduling and productivity goals and understand that an open appointment on the schedule is an opportunity to be addressed—not simply something to accept.
We will provide training and clear expectations. In return, we are looking for someone who is willing to learn the system, follow it consistently, and take ownership of keeping the schedule healthy and productive.
Why Join North Idaho Dental Group?
