Position Summary:
We are seeking a high-impact Executive Assistant to serve as a trusted partner to our Principal/Owner. This is an elevated Executive Assistant role designed for a seasoned professional who thrives in a high-trust, high-performance environment and is comfortable supporting both business operations and family enterprise responsibilities.
This role extends beyond traditional administrative support. The Executive Assistant serves as a trusted thought partner, organizational anchor, and key point of coordination—helping prepare information, organize priorities, and support thoughtful decision-making. Working closely with the Principal/Owner, this role helps ensure time, attention, and energy are aligned with the highest-impact priorities across the business, senior leadership team, and family governance activities.
While this role is based in the Tampa region, North Forest Office Space is headquartered in Buffalo, NY, with active markets and family ownership members located across multiple regions. This position requires regular coordination with senior leadership, area markets, advisors, and family members who may be remote. The successful candidate will be comfortable building strong relationships, trust, and alignment across distributed teams while serving as a consistent, reliable presence for the Principal/Owner.
This is a full-time, in-office position based in the Tampa region.
Key Responsibilities and essential functions of the role:
Relationship & Culture Stewardship
- Build and maintain trust-based relationships across NFOS senior leadership, development teams, ownership, family members, and external advisors
- Establish and maintain a strong, trust-based relationship with family members of the Principal/Owner
- Demonstrate neutrality, professionalism, maturity, and sound judgment in all interactions
- Contribute to a respectful, collaborative, values-driven team culture
- Serve as a consistent extension of the Principal/Owner’s leadership presence
Executive Partnership & Workflow Support
- Partner daily with the Principal/Owner to manage priorities, calendar, workflows, and commitments
- Ensure time and focus remain aligned with the highest-impact goals and initiatives
- Lead coordination of meeting rhythms across executive, senior leadership, development, ownership, and operational workflows
Chief-of-Staff–Lite Coordination
- Serve as a trusted listener and sounding board, helping surface issues early and maintain alignment
- Support priority alignment across the development team, NFOS senior leadership, and family governance
- Coordinate closely with senior leaders and the Development & Strategy Manager on meeting preparation, materials, and follow-through
- Assist with planning and logistics for leadership meetings, offsites, and related travel
Communication, Documentation & Organization
- Manage inbox and consolidate communications and respond to emails when appropriate.
- Draft and edit professional emails, documents, and presentations
- Lead the creation and maintenance of organized documentation systems, ensuring accuracy, structure, and timeliness
- Coordinate signatures, documentation, and information requests
Family Ownership & Advisor Coordination
- Support family ownership and governance communications and logistics
- Coordinate with legal, financial, tax, and business advisors
- Organize family governance materials and documentation for review
- Conduct research on family enterprise, governance, philanthropy, education, and related topics at the direction of the Principal/Owner; identify credible resources and maintain organized reference materials to support informed discussion and decision-making.
- Administer investment account records and administrative needs for the next generation (no investment decision-making)
Personal & Confidential Support
- Support personal travel, scheduling, and administrative needs for the Principal/Owner
- Coordinate family-related logistics in partnership with the Principal/Owner’s spouse
- Maintain absolute discretion and confidentiality
Education and Experience / Certification or License
- 5–7 years supporting a senior executive or principal in a complex, fast-paced environment
- Demonstrated ability to anticipate needs and manage complex workflows
- Exceptional judgment, emotional intelligence, and professionalism
- Strong organizational, communication, and analytical skills
- Ability to handle sensitive matters with discretion and neutrality
- Proficiency with Google Workspace
- Experience coordinating with external advisors (legal, tax, financial) is a plus

Physical Requirements/Working Conditions:
This role involves the ability to sit for extended periods while managing scheduling, correspondence, data entry, and document preparation. Occasional movement within the office is required to attend meetings and collaborate with team members.
