Walker Allergy and ENT are a multi-service ENT practice providing comprehensive ENT, Audiology, and Allergy services. We have built a well-known and highly respected reputation within the Fleming Island and Jacksonville communities, and we are seeking a highly motivated Office Specialist to join our growing team.
Position Summary
The Office Specialist serves as a key point of contact for patients and plays an essential role in ensuring efficient front-office operations. The ideal candidate is organized, detail-oriented, and committed to delivering exceptional patient service.
Key Responsibilities
- Welcome and introduce patients to the practice through in-person visits, phone communication, referrals, and electronic correspondence
- Schedule appointments in accordance with established office protocols
- Verify patient insurance benefits and eligibility, with a clear understanding of co-payments, co-insurance, and deductibles
- Accurately communicate insurance benefits and financial responsibilities to patients
- Obtain and verify appropriate referrals prior to patient visits, including hospital consultations (new and follow-up)
- Post charges accurately using CPT codes, ICD-10 codes, and appropriate modifiers
- Collect and post patient co-payments, co-insurance, deductibles, and outstanding balances at time of service
- Maintain accurate physician clinic and surgery schedules/calendars
- Monitor work assignments and align daily activities with office goals and performance standards
- Maintain organized and efficient office workflow
- Respond to patient calls, electronic messages, and correspondence in a timely and professional manner
- Maintain accurate personnel records and files
Qualifications & Experience
- Previous experience in a medical office setting preferred
- Knowledge of medical terminology and medical practices preferred
- Understanding of HIPAA regulations and compliance procedures preferred
- Experience with EMR systems preferred
- Proficiency in Microsoft Office applications (Excel, Word, etc.)
