JOB DESCRIPTION:

 

POSITION TITLE: Business Operations Coordinator                   YEAR: 2026-2027

 

REPORTS TO: Superintendent                                                  WORK DAYS: 260

 

JOB DESCRIPTION: This is a multi-role position responsible for handling various accounting tasks related to accounts payable and data entry. Additionally, this position assists in the administration of a school site by performing a variety of complex and responsible support functions and coordinating the workflow and activities processed through the school office. Also, providing support to the delivery of human resource services specific to supporting department staff.

 

 

PERFORMANCE RESPONSIBILITIES:

 

Human Resource Generalist:

 

  • Assists employees with short- and long-term leave of absence processes (e.g. eligibility, return to work dates, leave restrictions, FMLA) for the purpose of ensuring employees are knowledgeable of available leave opportunities and rights.
  • Manages employment processes (e.g., job postings, reviewing applicants, releasing information to administrators, callbacks, scheduling interview notifications, application packets, etc.) for the purpose of meeting District staffing requirements and complying with established guidelines.
  • Reviews interview recommendations for the purpose of notifying applicants, forwarding recommendations to appropriate administrative personnel, and providing assistance in the hiring completion process.
  • Accepts and processes all job postings from building administrators.
  • Maintains Applitrack System online application system-including closing open positions, notifying, and purging incomplete applications. Contacting applicants to let them know their application is incomplete.
  • Provides general support to applicants going through the online application process.
  • Distributes job vacancy notices to all employees.
  • Maintain professional confidentiality in all matters.

 

Finance Assistant

 

  • Manage accounts payable and receivables by using accounting software and other programs.
  • Regularly update and maintain financial records and ensure accurate entry of data in the accounting system.
  • Prepare financial documents such as bills, invoices, accounts payable, and other financial records in a timely manner.
  • Establishing and maintaining relationships with new and existing vendors.
  • Comparing and processing purchase orders, prices, terms of payment, and other charges.
  • Support monthly and quarterly audits by providing necessary documentation and information.
  • Perform reconciliations of accounts to ensure accuracy.
  • Processing payments to vendors by phone or credit card as requested.
  • Keep accurate files of invoices, payments, and vendors, and assist with audit prep work.

Administrative Assistant

 

  • Acts as receptionist; answers phone calls and screens visitors.
  • Acts as an administrative assistant, performing a wide variety of complex and responsible duties, as well as performing routine administrative support functions.
  • Establishes and maintains routine and confidential files and appointment schedules for the Principal.
  • Supports the day-to-day operations of the North Elementary Downtown campus, including but not limited to:
    • Absence Management System for students
    • Building access
    • Liaison between parents and staff
    • Scheduling

 

 

WORKING ENVIRONMENT/CONDITIONS:

 

  • This position works in a variety of settings including classrooms and outdoors and may experience heat or cold extremes as well as fumes, odors, dust; noise level moderate to loud.

QUALIFICATIONS:

  • High School Diploma – Bachelor’s Degree Preferred
  • Michigan K-12 Experience preferred with background in Finance and/or HR
  • Minimum of two (2) years on the job office setting experience preferred
  • Skilled in communications, human relations, team building, and the ability to manage using a shared decision-making approach and collaboration.
  • Experience in Google environments, Windows platform, and various workstations.
  • Ability to make decisions without close supervision, and must be accurate, efficient and capable of handling detailed work assignments.
  • Proven ability to work independently and self-motivated; also work cooperatively with other office personnel.
  • High degree of proficiency in written and verbal communication

  • Fingerprint clearance
  • Criminal Background check clearance

TERMS OF EMPLOYMENT: 260 days.

SALARY and BENEFITS CLASSIFICATION: Per Board approval

EVALUATION: Performance of this job will be evaluated in accordance with the provisions of the Board’s policy on Evaluation of Support Personnel.
