Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to join our team! Responsibilities

  • Manage front desk operations, greeting visitors and directing phone calls using multi-line phone systems with professionalism and courtesy
  • Handle calendar management, scheduling appointments, meetings, and coordinating events with precision
  • Perform data entry tasks accurately using Microsoft Office, Google Workspace, and specialized software such as QuickBooks for bookkeeping and financial record keeping
  • Maintain organized filing systems, including digital documents and physical records like invoices, reports, and client files
  • Provide excellent customer service by responding promptly to inquiries via phone, email, or in person while maintaining proper phone etiquette
  • Assist with office management duties such as ordering supplies, managing office equipment, and ensuring a clean and efficient workspace
  • Support clerical tasks including proofreading documents, preparing reports, managing calendars, and supporting personal assistant duties as needed

Experience

  • Prior office experience with a strong foundation in administrative support roles is required
  • Proven proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry skills
  • Experience handling multi-line phone systems and providing exceptional customer support or customer service
  • Familiarity with QuickBooks or similar bookkeeping software is preferred
  • Bilingual capabilities are highly desirable to assist diverse clientele effectively
  • Demonstrated organizational skills with the ability to prioritize tasks efficiently in a busy environment
