NDDOT Starting Salary: $5,903 / month
The Account and Budget Specialist in the Financial Management Division is responsible for ensuring the accurate and timely processing of vendor payments and employee payroll within the Accounts Payable section. This position works closely with department staff, vendors, and the Office of Management and Budget to resolve payment issues, reconcile financial records, maintain vendor accounts, and support accounts payable operations.
Key responsibilities include:
- Process, review, and reconcile accounts payable transactions to ensure accurate payment of vendor invoices, contracts, purchase orders, vouchers, and payroll-related expenditures.
- Assist vendors, district staff, accountants, and contract managers by resolving payment discrepancies, maintaining vendor records, providing payment documentation, and answering questions related to accounts payable procedures.
- Monitor and maintain financial records, including expenditure reports, payment files, credit balances, voided checks, refunds, journal adjustments, and other accounting documentation to ensure accuracy and compliance.
- Review and approve payment transactions in PeopleSoft, including vouchers, CARS, and CMS payments; process encumbrances, run financial queries and reports, and make necessary corrections to accounting records.
- Provide technical guidance and operational support to department personnel on accounting procedures, policies, taxes, discounts, and system processes.
- Assist with workload coordination, serve as backup for purchasing card functions, and assume supervisory responsibilities during the supervisor's absence to ensure continuity of operations.
Minimum Qualifications
To be successful in this role, you will need to be able to work in a fast-paced environment with the ability to manage multiple requests at one time. Excellent communication skills, experience with preparing worksheets, preparing fiscal analysis, reviewing expenditures and problem-solving are preferred.
To be considered for this position, you must have a bachelor's degree in accounting, or related degree with a major in accounting, and one year of professional accounting and/or auditing experience.
