About Us
The Sales Administrator is the critical link between Sales and Production, serving as a quality control checkpoint and administrative support resource. This role ensures that every sold job is clean, accurate, and fully ready for the next step in production. By reviewing contracts, verifying scope and materials, correcting errors in the CRM (ServiceTitan), and providing timely feedback to sales reps, the Sales Administrator helps drive operational efficiency, prevent rework, and deliver excellent customer experience.
Key Responsibilities:
Perform same-day QA of new sales, verifying materials, measurements, pricing, photos, financing documents, and contract accuracy, achieving a <2% error rate on post-QA job reviews.Correct errors or escalate issues prior to handoff to the Production Admin team. Advance jobs to “Ready for Scheduling” status within 24 hours of sale. Track recurring sales misses (e.g., missing photos, incorrect material codes) in RI Scorecards or equivalent tools. Provide real-time coaching and actionable feedback to sales reps to improve accuracy and compliance. Maintain data integrity in ServiceTitan, preventing duplicate or conflicting estimates. Confirm materials, scope of work, and pricing are accurate and complete. Join daily standups with Production Admins to resolve questions on new jobs. Participate in weekly Sales/Production meetings to surface trends and drive root-cause solutions. Liaison between sales teams, customers, and operations to ensure smooth communication and issue resolution. Track and report sales metrics through CRM and reporting tools. Support scheduling, customer follow-ups, and cross-team coordination as needed. Assist with commissions calculations as needed.

Required:
- 2 years in roofing, construction production, or sales.
- Strong organizational skills and meticulous attention to detail.
- Excellent written and verbal communication skills, especially when coaching or providing corrective feedback.
- Positive, collaborative team player with a proactive, problem-solving mindset.
- Comfortable working at a computer for extended periods; able to occasionally lift to 15 lbs.
- Must be able to communicate effectively via phone, video, and in person
- Proficiency with ServiceTitan (or comparable CRM/job management software).
- Proven knowledge of roofing workflows, materials, and terminology.
- Previous sales experience
- 8–10-hour shifts with occasional overtime and weekend work as needed
